Requirements
Minimum Diploma in Business Administration, Office Management, or a related field.
1-2 years of proven experience in a Sales Administrator or similar clerical role, preferably within a professional HR or recruitment environment.
Proficiency in Microsoft Office Suite, particularly Excel for data entry, tracking sales, and generating reports.
Excellent verbal and written communication skills in English and Bahasa Malaysia, with Mandarin proficiency being a strong asset.
Demonstrated ability in document management, ensuring accurate and organized filing of sales contracts, client information, and other essential documents.
Experience with inventory management principles and practices, if applicable to tracking sales collateral or office supplies.
Familiarity with account receivable processes, including invoicing, payment tracking, and liaising with the finance department.
Strong time management and organizational skills to effectively prioritize tasks, manage deadlines, and support the sales team efficiently.
Responsibilities
Manage and maintain sales records, ensuring accuracy and completeness of data in the CRM system.
Process sales orders, quotes, and invoices efficiently, coordinating with the sales team and finance department.
Prepare sales reports and presentations, analyzing data to identify trends and provide insights to management.
Handle customer inquiries and provide support, resolving issues promptly and professionally to maintain customer satisfaction.
Coordinate with the logistics team to ensure timely delivery of products and services to clients.
Maintain inventory records and assist in stock management, ensuring adequate supply levels.
Manage accounts receivable, including issuing statements, following up on payments, and reconciling accounts.
Organize and maintain sales-related documents, ensuring easy accessibility and compliance with company policies.
Assist in the preparation of sales proposals and tender documents, ensuring all required information is included.
Provide administrative support to the sales team, including scheduling meetings, managing calendars, and making travel arrangements.
