Job Description

Requirements

  • Minimum Diploma in Business Administration, Management, Supply Chain, Procurement, or a related field.

  • Minimum 3 years of working experience in administration and purchasing/procurement functions.

  • Proficient in Microsoft Office applications (Word, Excel).

  • Experience with procurement systems is an advantage.

  • Well communication, and interpersonal skills.

  • Good organizational and time management abilities.

  • Able to work independently and handle multiple tasks effectively.

  • Detail-oriented with strong problem-solving skills.

  • Good command of written and spoken English and Bahasa Malaysia.

Responsibilities

Administrative Functions

  • Manage day-to-day office administration and ensure smooth office operations.

  • Maintain and organize company records, documents, and filing systems.

  • Handle correspondence, incoming calls, and general administrative support.

  • Monitor office supplies inventory and coordinate replenishment.

  • Coordinate building and office maintenance matters, including liaising with building management, contractors, and service providers to ensure timely resolution of maintenance issues and smooth facility operations.

  • Monitor and follow up on maintenance requests, preventive maintenance schedules, repair works, and service contracts for office facilities and equipment.

  • Coordinate meetings, appointments, travel arrangements, and company events as required.

Purchasing Functions

  • Source and negotiate with suppliers to obtain competitive pricing and favorable terms.

  • Prepare and process purchase requisitions, purchase orders, and related documentation.

  • Monitor order status and coordinate deliveries to ensure timely receipt of goods and services.

  • Maintain supplier databases and procurement records.

  • Evaluate supplier performance and identify cost-saving opportunities.

  • Ensure purchasing activities comply with company policies and procedures.

  • Coordinate with internal departments regarding purchasing requirements and inventory needs.
