Responsibilities
Greet and welcome visitors in a professional and friendly manner, directing them to the appropriate personnel or department.
Manage the main phone line, answering calls, screening and directing them to the correct recipient, and taking messages when necessary.
Handle incoming and outgoing mail and deliveries, ensuring timely distribution and proper record-keeping.
Maintain the reception area, ensuring it is tidy, presentable, and stocked with necessary supplies.
Provide administrative support, including scheduling appointments, managing meeting rooms, and assisting with basic data entry.
Respond to general inquiries from clients, customers, and visitors, providing accurate information or escalating to the appropriate department.
Assist with basic office tasks such as photocopying, scanning, and filing documents.
Coordinate with other departments to ensure smooth communication and efficient workflow.
Maintain a visitor log and ensure all visitors adhere to company security policies.
Handle any immediate customer concerns or issues that arise at the front desk, escalating complex problems to management.
