Education : Bachelor’s Degree in Business Administration/International Trade/Supply Chain Management is highly preferred
Experience : 3years - 5+ years as a PA or EA to C-suite executives, preferably in Trading, Manufacturing, or Logistics. Experience in an Engineering or ICT industry.
Technical Skills : Proficiency in ERP systems (SAP/Oracle/SQL), MS Office, and project management tools. Familiar with Import & Export arrangement.
Ability to work flexible hours for global trade Multi-lingual (English, Malay, Mandarin)
Responsibilities
Personal Assistant (PA) to the Executive Director (ED), you will serve as the primary point of contact and strategic gatekeeper. This role goes beyond traditional administrative support; you will actively manage the ED’s professional ecosystem, ensuring seamless business operations across purchasing, international trade logistics, and high-level scheduling.
Key Responsibilities
1. Manage schedules, meetings, and communications
· Manage the ED’s calendar, prioritizing meetings based on business urgency and strategic goals. Proactively resolving scheduling conflicts.
· Prepare daily/weekly/monthly update and status progress including meeting agendas, attendee profiles, and relevant background documents.
2. Business Operations & Purchasing
· Procurement Oversight: Act as the liaison for high-level purchasing. Review requisitions, solicit quotes, and manage vendor relationships.
· Negotiation Support: Assist the ED in preparing for vendor negotiations by analyzing price trends and historical data.
· Expense Tracking: Reconcile business expenses, manage budgets for specific projects, and ensure all financial documentation is audit-ready.
3. Import/Export & Logistics Coordination
· Trade Documentation: Coordinate with freight forwarders and customs brokers to ensure all import/export paperwork (Bills of Lading, Commercial Invoices, Certificates of Origin) is accurate.
· Compliance Monitoring: Keep the ED informed of changes in international trade regulations, tariffs, or shipping delays that impact the supply chain.
· Tracking: Provide real-time updates on the status of international shipments and resolve logistics bottlenecks.
4. Communication & Representation
· Correspondence: Draft and proofread high-stakes emails, reports, and presentations on behalf of the ED.
· Liaison: Act as a bridge between the ED and internal department heads, ensuring action items from meetings are followed up on.
· Travel Coordination: Arrange complex domestic and international travel itineraries, including visas, transport, and accommodation.
