Requirements
Diploma or Degree in Business Administration, Tourism Management, Hospitality, or related field.
At least 1 year of working experience in administration, secretarial, or travel operation field is an advantage.
Fresh graduates with strong organizational skills and willingness to learn are encouraged to apply.
Training and guidance will be provided for candidates with strong willingness to learn.
Candidates with experience in travel agency or tour operations will have an added advantage.
Good organizational and multitasking skills.
Strong attention to detail and ability to work independently.
Good communication skills in English, Mandarin and Bahasa Malaysia.
Proficient in Microsoft Office. B20- Able to work under pressure and manage urgent operational matters.
Responsible, proactive, and willing to learn.
Responsibilities
A. Executive & Administrative Support
Provide secretarial and administrative support to Directors and Management.
Manage schedules, appointments, meetings, and travel arrangements.
Prepare letters, reports, presentations, meeting minutes, and company documents.
Handle filing, documentation, and record management systematically.
Monitor office supplies and coordinate with vendors/suppliers when necessary.
Assist in license renewal, permit applications, and company compliance matters.
Manage incoming calls, emails, and customer enquiries professionally.
B. Tour Operation Support
Assist in coordinating tour arrangements, itineraries, transportation, accommodation, and bookings.
Liaise with airlines, hotels, transport providers, tour guides, and travel partners.
Prepare travel documents including itineraries, invoices, vouchers, rooming lists, and confirmations.
Ensure operational documents are accurate and properly organized before departure.
Support group departure coordination and last-minute operational requirements.
Monitor tour schedules and update management on operational matters.
Assist in handling customer requests and operational issues promptly.
C. Coordination & Communication
Coordinate internally with sales, marketing, finance, and operation departments.
Maintain good communication with clients, suppliers, and business partners.
Follow up on pending matters and ensure timely completion of assigned tasks.
Support management in organizing company events, travel fairs, and business meetings.
4. Documentation & Reporting
Maintain proper records for operational and administrative purposes, and prepare monthly report.
Ensure all operational checklists and documentation are completed accurately.
Handle confidential company information with professionalism and integrity.
