Job Description

Requirements

  • Diploma or Degree in Business Administration, E-commerce, Management, or a related field

  • 1–3 years of experience in an Admin, Personal Assistant, or E-commerce support role

  • Proficient in Canva with a good eye for creating clean, appealing product visuals and graphics

  • Experience navigating and updating e-commerce platforms (e.g., Shopee, Lazada, or company website)

  • Basic understanding of accounting, bookkeeping, or billing processes

  • Highly organized, detail-oriented, and capable of managing multiple orders and documents simultaneously

  • Proficient in Microsoft Office (Excel, Word) and comfortable using invoicing software

  • Strong communication skills and a proactive, problem-solving attitude

Responsibilities

  • E-commerce Management & Design
    Update and manage online e-commerce product listings (item descriptions, pricing, and stock levels). Use Canva to design, edit, and optimize product images, promotional banners, and simple marketing materials for online platforms.

  • Invoicing & Quotations
    Prepare, issue, and manage accurate quotations and invoices for furniture orders, bulk supplies, and clients in a timely manner.

  • Payment Tracking & Verification
    Monitor incoming client payments, verify transaction receipts, process supplier invoices, and actively follow up on any outstanding accounts.

  • Daily Operations Assistance
    Assist management with day-to-day operational workflows, which may include coordinating with warehouse staff, tracking delivery schedules, and resolving immediate administrative issues.

  • Data Entry & Inventory Record Keeping
    Maintain organized and up-to-date physical and digital files, keeping track of product catalogs, pricing lists, business transactions, and company documentation.

  • General Administration & Coordination
    Manage incoming inquiries from clients and suppliers, handle emails, and assist in scheduling meetings or appointments for the management team.
