Requirements
Education & Experience
Education Requirement: Diploma or Degree in Business, Marketing, Events Management, or related field.
Minimum 2 years of experience in sales support, coordination, or client servicing (events/exhibitions preferred).
Experience preparing quotations, proposals, or project briefs is an advantage.
Skills & Competencies
Strong communication skills in English and Chinese (Bahasa Malaysia is a plus).
Good organization and multitasking ability across multiple projects and deadlines.
Detail-oriented in handling meeting notes, briefs, and quotations.
Proficient in Microsoft Office / Google Workspace; familiar with CRM systems.
Work Behavior & Attitude
Responsive and disciplined in follow-ups with clients and internal teams.
Strong ownership to ensure smooth coordination and no missed opportunities.
Team player, able to work across sales, design, operations, and finance.
Professional and confident in client-facing situations.
Other Requirements
Willing to attend client meetings (physical or online), occasionally outside normal hours.
Able to start within short notice or as agreed.
Responsibilities
1. Client Communication Support
Attend client meetings with the Sales Manager and assist in discussion flow.
Capture structured meeting notes and key project requirements.
Send meeting recap and follow up on missing information promptly.
2. Project Brief Preparation
Prepare complete and structured project briefs for internal teams.
Ensure all key details are captured (scope, objectives, timeline, budget if available).
Brief the design team clearly once information is complete.
3. Proposal & Quotation Preparation
Prepare quotations based on design and internal costing inputs.
Verify pricing accuracy with relevant teams when required.
Compile and send proposal documents to clients.
4. Sales Follow-Up & CRM Management
Follow up with clients after proposal submission, gather booth design feedback to the design team, and manage the back-and-forth process until the design is approved or the opportunity is lost.
Track all leads and opportunities in CRM with accurate status updates.
Maintain organized records of all client interactions and documents
5. Contract & Payment Coordination
Follow up on PO, signed quotation, and required approvals.
Coordinate with finance for invoice issuance and documentation.
Track and follow up on payment status (deposit and balance)
6. Internal Coordination
Coordinate between sales, design, operations, and finance teams.
Ensure all departments receive clear and updated project information.
Support smooth handover from sales to execution team.
