Job Description

Requirements

  • Provide comprehensive administrative support to various departments, including managing correspondence, scheduling appointments, and coordinating meetings.

  • Maintain and update company records, databases, and filing systems with a high degree of accuracy and attention to detail.

  • Handle incoming and outgoing communications, including phone calls, emails, and mail, ensuring professional and timely responses.

  • Assist with basic bookkeeping tasks, such as processing invoices, expense reports, and managing petty cash.

  • Support office management functions, including ordering supplies, maintaining office equipment, and ensuring a tidy and organized workspace.

  • Liaise with clients and external partners, providing excellent customer service and addressing inquiries effectively.

  • Prepare reports, presentations, and other documents as required by management, utilizing standard office software.

  • Demonstrate strong organizational skills to manage multiple tasks and prioritize workload efficiently in a fast-paced environment.

  • Possess excellent written and verbal communication skills in both English and Bahasa Malaysia to facilitate clear and effective interaction with diverse stakeholders.

  • Proficiency in data entry and management, ensuring the integrity and confidentiality of sensitive information.

Responsibilities

  • Greet and direct visitors, answer and direct phone calls, and manage the reception area to ensure a professional and welcoming environment.

  • Perform general administrative duties such as filing, photocopying, scanning, and organizing documents to maintain an efficient office workflow.

  • Assist with scheduling appointments, managing calendars, and coordinating meetings for staff members.

  • Handle incoming and outgoing mail and deliveries, ensuring timely distribution to the appropriate personnel.

  • Support the team with data entry tasks, maintaining accurate and up-to-date records in various databases and systems.

  • Provide basic customer service by responding to inquiries, resolving issues, and directing customers to the correct departments.

  • Assist in maintaining office supplies inventory, placing orders as needed, and ensuring the office is well-equipped.
