Job Description

Requirements

  • Possess a Diploma or Degree in Marketing, Digital Marketing, Business Administration, or any related field.

  • Required languages: English, Bahasa Malaysia, and Mandarin.

  • Conscientious and patient, with the ability to work under tight deadlines.

  • Proficient in Microsoft Excel with basic knowledge of inventory or order management systems.

  • Knowledge in managing online marketplaces and social media platforms.

  • Strong negotiation, coordination, and communication skills.

  • Additional experience in managing marketplaces (Shopee, Lazada, TikTok, and others) is an advantage.

  • Fresh graduates are encouraged to apply.

  • Full-time position available with 5.5 working days (half day on Saturday).

Responsibilities

Role Purpose

To oversee and support the Company’s online and offline marketplace operations, inventory systems, store operations, and team coordination to ensure operational efficiency, accuracy, and alignment with business objectives.

Key Duties & Responsibilities

1. Marketplace & Operations Management

  • Oversee and manage online and offline marketplace operations to ensure smooth execution, operational efficiency, effective manpower planning, and alignment with business objectives.

2. Inventory & System Administration

  • Oversee inventory control, POS systems, accounting systems, and internal platforms to ensure data accuracy, proper documentation, and compliance with Company policies and procedures.

3. Product & Content Oversight

  • Ensure accuracy, consistency, and compliance of product listings, including quantities, pricing, discounts, promotions, descriptions, and related content in line with Company and brand standards.

4. Performance Monitoring & Analysis

  • Monitor operational performance indicators, store cleanliness, visual merchandising standards, competitor activities, and marketplace trends.

  • Prepare reports and provide recommendations to Management.

5. Payroll & Compensation Administration

  • Coordinate and oversee payroll-related matters, including verification of attendance and supporting documentation.

  • Ensure compliance with Company policies and statutory requirements, while maintaining confidentiality of payroll and compensation information.

6. Cross-Department & External Coordination

  • Coordinate with internal departments, retail stores, suppliers, brand principals, and external partners to ensure operational alignment and support business needs.

7. Marketplace Compliance & Governance

  • Ensure compliance with Company and online marketplace policies, SLAs, and brand guidelines.

  • Monitor account health metrics such as cancellation rates, late shipment rates, and penalties.

  • Handle marketplace disputes, claims, and audits.

8. Order Fulfilment & Customer Experience

  • Monitor order processing, picking, packing, and dispatch accuracy.

  • Ensure orders are fulfilled within required timelines.

  • Coordinate handling of customer complaints, returns, and refunds.

  • Monitor customer ratings, reviews, and feedback trends.

9. Promotion & Campaign Execution

  • Execute marketplace campaigns, promotions, and sales events.

  • Coordinate pricing, stock readiness, and manpower planning during campaigns.

  • Ensure promotional content and discounts are accurately implemented.

  • Conduct post-campaign performance and stock impact reviews.

10. SOP, Process & Internal Controls

  • Develop, document, and maintain SOPs for marketplace and store operations.

  • Ensure staff adherence to SOPs and operational checklists.

  • Identify process gaps, recommend improvements, and support internal audits and compliance checks.

11. Risk & Issue Management

  • Identify operational risks such as system downtime, manpower shortages, and stock discrepancies.

  • Escalate critical issues to Management promptly.

  • Implement corrective actions and temporary workarounds to support business continuity, especially during peak periods.

12. General Duties

  • Perform any other duties as assigned by Management in line with the position, competencies, and business requirements.
