Position Summary
The Document Controller is responsible for managing andmaintaining project documentation throughout the project lifecycle. The roleensures that all engineering, procurement, construction and contractualdocuments are accurately controlled, distributed and archived in compliancewith company procedures and client requirements.
Key Responsibilities
- Establish and maintain project document control systems in accordance with company and client requirements.
- Receive, register, distribute, track and archive engineering drawings, technical documents, project correspondence and contractual records.
- Maintain document registers, drawing registers, transmittal logs and revision histories.
- Ensure all project documents are properly reviewed, approved, issued and updated with the latest revisions.
- Coordinate the submission and tracking of technical documents, material submittals, method statements, inspection requests and as-built drawings.
- Prepare and issue document transmittals to clients, consultants, subcontractors and suppliers.
- Maintain both electronic and hardcopy filing systems to ensure document integrity, traceability and confidentiality.
- Monitor document submission schedules and follow up with project teams to ensure timely submissions and approvals.
- Compile operation and maintenance manuals, quality records and project handover documentation.
- Generate document status reports and provide administrative support to the Project Manager and project team.
- Ensure compliance with company document control procedures and quality management systems.
Requirements
- Diploma or equivalent qualification in Business Administration, Engineering, Information Management or a related discipline.
- Minimum 3 years of relevant document control experience in EPC, construction, engineering or industrial projects.
- Familiarity with engineering drawings, technical documentation and document control procedures.
- Experience with document management systems such as Aconex, Newforma, EIDA or equivalent will be an advantage.
- Proficient in Microsoft Office applications, particularly Word, Excel and Outlook.
- Excellent organisational, communication and time management skills.
- Meticulous, responsible and able to manage multiple tasks under tight deadlines.
- Able to work independently and collaboratively in a multidisciplinary project environment.
