Admin & HR AssistantJob SummaryWe are looking for a responsible, proactive and organised Admin & HR Assistant to support the daily administrative and HR operations. The ideal candidate should be detail-oriented, able to work independently and possess strong organisational, communication and follow-up skills.
Key Responsibilities- Maintain proper filing systems and ensure all administrative and HR documentation is organised and up to date.
- Obtain quotations from suppliers and negotiate for competitive pricing.
- Monitor office supplies and place orders when required (e.g. groceries, stationery and pantry items).
- Verify supplier invoices and submit them to the Accounts Department for payment processing.
- Prepare and maintain monthly purchase order summaries using Microsoft Excel.
- Perform basic troubleshooting and coordinate the maintenance of office equipment, including photocopiers and plotters.
- Manage office equipment and supplies, including pendrives, laser pointers, label printers, batteries, first aid kits and other office necessities.
- Update new projects in the HR2Eazy system.
- Prepare and verify monthly timesheets, overtime claims and dispatch claims.
- Monitor employees' attendance records and follow up on missing timesheets, leave applications, medical certificates (MCs) and other supporting documents.
- Maintain and update the Incoming Mail Register and ensure incoming correspondence is properly recorded and distributed.
- Liaise with internal departments on administrative matters, including name cards, rubber stamps, letterheads, envelopes, transmitters and cash vouchers.
- Follow up on outstanding administrative and HR matters to ensure assigned tasks are completed accurately and within the required timeline.
- Keep the immediate superior informed of the progress and status of assigned tasks.
- Perform any other duties and responsibilities assigned by the immediate superior from time to time
Requirements- Minimum Sijil Pelajaran Malaysia (SPM) or equivalent. Candidates with a Diploma in Business Administration, Human Resource Management or a related field will have an added advantage.
- Minimum 1–2 years of relevant working experience in Administration and/or Human Resources.
- Proficient in Microsoft Office applications, particularly Microsoft Excel.
- Experience with HRIS (e.g. HR2Eazy) will be an added advantage.
- Strong organisational skills with excellent attention to detail.
- Good communication and interpersonal skills.
- Proactive, responsible and able to work independently with minimum supervision.
- Strong follow-up skills and able to manage multiple tasks effectively.
- Able to maintain confidentiality when handling administrative and HR matters.
