Responsibilities

Job Summary

The HR & Admin Executive is responsible for supporting daily Human Resources and administrative operations, including HR administration, recruitment, payroll support, employee records, office administration, and general administrative functions. This role ensures efficient HR and office operations while complying with company policies and employment regulations.


Key Responsibilities

  • Support the recruitment process, including job posting, candidate sourcing, interview coordination, and onboarding.
  • Monitor employee attendance, overtime, leave records, and maintain accurate time management data.
  • Assist in monthly payroll preparation by verifying attendance, overtime, allowances, claims, and statutory deductions.
  • Maintain employee records, HR databases, and personnel files, ensuring all information is accurate and up to date.
  • Prepare HR documents such as employment contracts, confirmation letters, salary adjustment letters, warning letters, and other employment-related correspondence.
  • Coordinate employee onboarding, offboarding, probation confirmation, and orientation activities.
  • Handle employee inquiries related to HR policies, benefits, attendance, and leave administration.
  • Support performance appraisal, employee engagement, and training administration.
  • Manage general office administration, including office supplies, stationery, company assets, and facility-related administrative matters.
  • Coordinate with external vendors, government agencies, and service providers on administrative matters.
  • Ensure compliance with the Employment Act, EPF, SOCSO, EIS, PCB, and company policies.
  • Prepare HR and administrative reports and maintain proper documentation and filing.
  • Perform other HR and administrative duties assigned by the HR Manager.


Job Requirements

  • Bachelor's Degree or Diploma in Human Resources, Business Administration, or a related field.
  • Minimum 2 years of experience in HR and administrative functions, preferably in a manufacturing environment.
  • Experience in HR administration, recruitment, attendance management, payroll support, and office administration.
  • Knowledge of the Malaysian Employment Act and statutory requirements (EPF, SOCSO, EIS, PCB).
  • Familiarity with HRIS, attendance, and payroll systems.
  • Proficient in Microsoft Office applications, especially Excel, Word, and PowerPoint.
  • Good communication, interpersonal, organizational, and problem-solving skills.
  • Able to work independently, prioritize tasks, and perform effectively in a fast-paced environment.
  • Proficiency in English and Mandarin (spoken and written) is an added advantage to communicate effectively with Mandarin-speaking employees, vendors, and headquarters.
