System Planning & Communications Coordinator

Location: Plaza Conlay, Kuala Lumpur
Working Hours: Monday to Friday, 8:30 AM – 5:30 PM

About the Role

We are looking for a highly organized and tech-savvy System Planning & Communications Coordinator to join our dynamic team. In this pivotal role, you will bridge the gap between complex technical data and strategic business communication. You will be the backbone of our project management office, ensuring that our internal communications are engaging, our project data is flawless, and our leadership is prepared for high-stakes meetings.

This is not just an administrative role; it is a chance to leverage modern AI and analytics tools to tell compelling stories with data, coordinate with regional and head offices, and ensure the smooth execution of key operational and governance processes.

What You’ll Do

1. Data Storytelling & Visualization

  • Design and deliver high-impact presentations that translate complex technical data into clear, visually compelling charts and graphics.
  • Leverage modern AI tools and basic data analytics to transform raw data into strategic insights for management and key stakeholders.

2. Strategic Communications

  • Manage and curate content for our internal communications platforms.
  • Ensure all messaging is clear, visually engaging, and consistent, aligning with the strategic goals of the organization and resonating with diverse audiences.

3. Project Repository Management

  • Act as the gatekeeper of our project documentation, ensuring all reports, meeting minutes, and records are updated and compliant with regional standards.
  • Provide regular, accurate status updates to the Head of Department (HOD) and the Project Management Office (PMO).

4. End-to-End Meeting Execution

  • Coordinate high-level business meetings from start to finish, including scheduling, agenda preparation, minute-taking, and managing post-meeting follow-ups.
  • Act as the primary liaison for meeting coordination with Regional and Head Offices.

5. Travel & Logistics Coordination

  • Manage pre- and post-business travel arrangements, including detailed logistics planning, documentation, and expense/claims processing in line with established policies.

6. Administrative Governance

  • Oversee administrative and operational tasks as directed by the Head of IT and HOD.
  • Ensure all tasks are executed promptly and adhere to defined workflows, internal processes, and strict governance requirements.

7. General Support

  • Provide day-to-day operational support to the HOD, ensuring seamless stakeholder engagement and smooth departmental function.
