Job Overview
We are seeking a highly organized, versatile, and proactive Manufacturing Operations Administrator to serve as the central hub of our daily business operations. In this role, you will wear many hats—seamlessly handling administrative duties across supply chain, sales support, logistics, HR, and basic IT coordination.
Key Responsibilities
1. Export, Import & Logistics
- Coordinate international and domestic shipments, working closely with freight forwarders, customs brokers, and carriers.
2. Sales Support & Customer Coordination
- Process customer orders, issuing order confirmations, invoices, and delivery notes via the ERP system.
- Act as a primary point of contact for customer inquiries regarding order status, lead times, and shipping schedules.
- Maintain accurate customer databases, pricing lists, and sales records.
3. Human Resources & General Office Administration
- Assist with basic HR duties, including onboarding new hires, managing attendance/leave records, and maintaining personnel files.
- Coordinate monthly payroll data and liaise with external payroll providers or accounting teams.
- Manage general office inventory, order office/canteen supplies, and ensure facilities are well-maintained.
- Organize company meetings, travel arrangements, and team events.
4. Basic IT & Facilities Support
- Serve as the initial internal point of contact for basic IT issues (setting up user workstations, managing email accounts, maintaining inventory of hardware).
- Liaise with external IT vendors/managed service providers (MSPs) for escalated technical support or system maintenance.
- Ensure ERP system data integrity by regularly updating inventory, vendor, and customer records.
Qualifications & Requirements
- Experience: 2–4+ years of administrative experience, ideally within a manufacturing, production, or distribution environment.
- Education: Associate’s or Bachelor’s degree in Business Administration, Logistics, Supply Chain, or a related field (or equivalent practical experience).
- Skills:
- Hands-on experience with ERP systems (e.g., SAP, Oracle, Microsoft Dynamics, or similar) and CRM software.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and cloud platforms (Google Workspace, Office 365).
- Solid understanding of basic shipping documentation, Incoterms, and customs procedures.
- Strong organizational and multi-tasking skills with a high attention to detail.
- Excellent communication skills, both written and verbal.
Pay: RM2,500.00 - RM3,500.00 per month
