Office Administration and HR Coordinator


About the Company

Our client is a growing technology company that provides innovative solutions for the electric utilities market. As part of its international expansion, the company is establishing and scaling its operations in Singapore.


The Office Administration and HR Coordinator will play a key role in supporting the Singapore office across human resources, administration, and local finance coordination. This is a broad, hands-on position suited to someone who enjoys working independently and building processes within a fast-growing environment.


Key Responsibilities

The successful candidate will undertake a diverse range of responsibilities to support the effective operation and continued growth of the Singapore office:

  • Act as the primary point of contact for human resources, administration, and finance-related matters in the Singapore office.
  • Manage day-to-day office operations, including facilities, vendors, office supplies, travel arrangements, and general workplace administration.
  • Oversee expense tracking, petty cash management, invoice processing, and local finance coordination.
  • Support compliance with Singapore employment and workplace requirements, including relevant Ministry of Manpower regulations.
  • Coordinate with building management, external vendors, service providers, and relevant authorities.
  • Manage work pass, immigration, onboarding, and relocation formalities for internationally hired employees.
  • Coordinate employee documentation and maintain accurate HR and administrative records.
  • Support employee engagement initiatives, including team events, offsites, and workplace culture activities.
  • Promote the company’s values and contribute to a positive, collaborative, and cohesive working environment.
  • Coordinate local vendor payments and liaise with the regional or global finance team regarding statutory, accounting, and compliance requirements.
  • Support the development and implementation of HR, administrative, and finance-related processes as the Singapore operation grows.


Key Challenges

The successful candidate will be expected to address several important priorities:

  • Establishing HR, administrative, and finance coordination processes for the Singapore office with limited existing infrastructure.
  • Managing work pass, immigration, and relocation requirements for an internationally recruited workforce.
  • Ensuring effective coordination across HR, administration, and finance without dedicated functional teams based locally.
  • Balancing a broad range of changing office, employee, and finance-related priorities within a lean and growing organization.
  • Keeping up to date with evolving employment, workplace, and Ministry of Manpower compliance requirements.
  • Creating scalable processes that can support the company’s continued growth in Singapore.


Candidate Requirements

  • Bachelor’s degree in Business Administration, Human Resources, Finance, or a related discipline.
  • An MBA or relevant postgraduate qualification would be advantageous but is not essential.
  • Approximately one to three years of experience in office administration, HR operations, finance coordination, or a related generalist role.
  • Experience within a technology, engineering, energy, utilities, or start-up environment would be advantageous.
  • Strong generalist capabilities, with the confidence to independently manage HR, administrative, and basic finance responsibilities.
  • Good understanding of Singapore employment practices, work pass processes, and Ministry of Manpower requirements.
  • Highly organised, proactive, resourceful, and comfortable managing multiple priorities.
  • Strong attention to detail and the ability to establish clear processes and maintain accurate records.
  • Strong interpersonal, collaboration, and communication skills.
  • Ability to work effectively with geographically distributed and cross-functional teams.
  • Comfortable working in a fast-paced, entrepreneurial, and evolving business environment.
