Role Description

The HR Administrator is responsible for providing high-quality HR administrative support to a portfolio of clients while assisting with payroll processing activities. Working within an outsourced payroll and HR services environment, the role ensures accurate employee records, timely HR administration, and payroll support while delivering exceptional customer service to clients.

The successful candidate will work closely with HR Consultants, Payroll Specialists, and client representatives to ensure compliance with employment legislation, client policies, and payroll deadlines.


Key Responsibilities


HR Administration

  • Maintain accurate employee records and HR information systems.
  • Prepare employment contracts, variation letters, confirmation letters, and other employment documentation.
  • Administer employee onboarding and offboarding processes.
  • Process new starters, resignations, transfers, promotions, and employee status changes.
  • Maintain personnel files ensuring confidentiality and compliance with privacy requirements.
  • Respond to client and employee HR administration enquiries in a professional and timely manner.
  • Assist clients with HR forms, templates, and standard employment documentation.
  • Monitor expiry dates for visas, probation periods, certifications, and fixed-term contracts where applicable.
  • Coordinate leave administration and maintain leave records.


Payroll Support

  • Assist with the preparation and processing of payroll for multiple client organisations.
  • Collect, validate, and enter payroll information including timesheets, leave, allowances, deductions, and employee changes.
  • Perform payroll data entry and assist with payroll reconciliations.
  • Support payroll compliance with relevant legislation, awards, enterprise agreements, and client requirements.
  • Assist with statutory reporting, superannuation, payroll tax, and end-of-year payroll activities as required.
  • Respond to payroll-related enquiries from clients and employees.
  • Escalate payroll issues to Payroll Specialists where appropriate.


Client Service

  • Build strong working relationships with assigned clients.
  • Deliver responsive and accurate HR and payroll administration services.
  • Manage multiple client priorities while meeting agreed service levels.
  • Maintain confidentiality and professionalism when handling sensitive employee information.
  • Identify opportunities to improve client processes and internal efficiencies.


Compliance and Quality

  • Ensure compliance with employment legislation and payroll regulations.
  • Follow internal quality assurance procedures and service standards.
  • Maintain accurate documentation and audit trails.
  • Contribute to continuous improvement initiatives and system enhancements.


Skills and Experience


Essential

  • Previous experience in HR administration or HR support.
  • Exposure to payroll processing or payroll administration.
  • Excellent administrative and organisational skills.
  • Strong attention to detail and accuracy.
  • Ability to manage multiple deadlines and competing priorities.
  • Excellent written and verbal communication skills.
  • Strong customer service orientation.
  • Intermediate to advanced Microsoft Office skills, particularly Excel.
  • Experience using HRIS and/or payroll software.


Desirable

  • Experience working within a payroll bureau, outsourced HR, professional services, or accounting environment.
  • Knowledge of employment legislation and payroll compliance.
  • Experience with cloud-based HRIS and payroll platforms.
  • Certificate or Diploma in Human Resources, Business Administration, or a related discipline.
