Role Description The Human Resources Executive is a full-time, on-site role based in Singapore. This role supports day-to-day HR operations, including maintaining employee records, administering benefits, coordinating recruitment activities, and assisting with onboarding and offboarding processes. The Human Resources Executive helps implement HR policies and procedures, supports performance management cycles, and provides guidance to employees on HR-related queries. The role also involves assisting with employee engagement initiatives, handling basic employee relations matters, and preparing HR reports and documentation to support compliance and organizational decision-making. Collaboration with internal stakeholders, timely follow-up, and attention to detail are essential to ensure smooth HR operations.


Key Responsibilities


Recruitment and Talent Acquisition

  • Post job advertisements on approved recruitment platforms.
  • Source, screen and shortlist suitable candidates.
  • Coordinate interviews and communicate with candidates throughout the recruitment process.
  • Collect and verify required employment documents.
  • Support hiring managers in recruitment-related administrative matters.


Employee Onboarding and Offboarding


Onboarding

  • Coordinate and administer the onboarding process for new employees.
  • Conduct orientation programmes and introduce employees to company policies, facilities, workplace safety procedures, and key personnel.
  • Arrange building access cards, workstations, lockers and other onboarding resources.
  • Configure reporting and approval workflows for leave, timesheets and expense claims.


Offboarding

  • Manage employee resignation and offboarding processes.
  • Prepare resignation acceptance letters, exit documentation and clearance forms.
  • Verify leave balances and coordinate final administrative requirements.
  • Ensure company property and access privileges are returned or deactivated.


HR Operations and Employee Records

  • Maintain accurate and up-to-date employee records and HR databases.
  • Ensure confidential employee information is properly maintained and safeguarded.
  • Respond to employee enquiries relating to HR policies, records and system updates.
  • Support HR reporting and statutory documentation requirements.


Leave, Claims and Employee Administration

  • Administer employee leave applications and address leave-related enquiries.
  • Review and process expense claims in accordance with company policies.


Project-Site HR Support

  • Provide HR administrative support for employees assigned to project sites.
  • Review overtime claims and supporting attendance records.
  • Prepare employment-related letters and documentation.
  • Maintain records of site assignments, contract periods and employee deployment status.
  • Liaise with project teams on employee administrative matters.


Office Administration and Reception Support

  • Manage building access cards, locker assignments and workstation arrangements.
  • Liaise with building management regarding employee access, carpark allocations and visitor matters.
  • Provide reception coverage within the admin team during the receptionist's absence.
  • Support general office administration and ad hoc duties assigned by management.


Qualifications

  • Strong foundation in Human Resources (HR) and HR Management, with the ability to support strategic and operational HR initiatives.
  • Hands-on experience in HR Operations, including HR administration, documentation, and HR systems or HRIS usage.
  • Knowledge of HR Policies and employment regulations, with the ability to help ensure compliance and consistent application across the organization.
  • Experience in Employee Relations, with skills in communication, conflict resolution, and supporting a positive workplace culture.
  • Diploma or Bachelor’s degree in Human Resources, Business Administration, or a related field, or equivalent practical experience.
  • Strong organizational, analytical, and problem-solving skills, with attention to accuracy and confidentiality.
  • Effective written and verbal communication skills in English;
  • Proficiency in MS Office and familiarity with HR software; experience in professional services or design/engineering firms is beneficial.
