About the Role

This is a hands-on operational role for someone who genuinely loves making things run well. You will handle messages, keep lessons on track, fix problems calmly when they arise, and keep the systems and trackers that hold everything together. We hire on attitude and train on skills: you don’t need to know UK admissions or be an Excel expert on day one. What matters is that you’re organised, warm with people, willing to learn, and comfortable with an operational rhythm that includes Sunday work.

This is a steady, sustainable role, not a firefighting job. Most of your work will happen during normal working hours. You’ll occasionally need to reply to genuinely urgent messages outside those hours but we don’t expect anyone to be always-on.

Key Responsibilities

Messages & Communication

  • Act as a reliable point of contact across our communication channels (WhatsApp & email), responding promptly, warmly and professionally.

  • Triage and prioritise incoming messages — handling the majority directly and escalating only what genuinely needs management.

  • Communicate clearly with tutors and parents to arrange, confirm and reschedule lessons and consultations.

Live Lesson Support

  • Keep an eye on scheduled lessons and step in when something goes wrong — technical issues (Zoom / login / connection), tutor or student no-shows, last-minute changes.

  • Be reachable during scheduled lesson times on the days you work, so issues can be resolved quickly.

  • Occasionally respond to genuinely urgent matters outside working hours: not routine messages, and not on a 24/7 basis.

Administration, Systems & Records

  • Own the department’s day-to-day admin: scheduling, documents, records, follow-ups and reminders, so nothing slips.

  • Build, maintain and improve tracking spreadsheets: enquiry and lead tracking, lesson-hour records, billing reconciliation and similar.

  • Keep data clean, accurate and well-organised across our systems and trackers.

What We're Looking For
  • At least 1–2 years of experience in an admin, operations, coordination or customer-service role — or the right attitude if you’re earlier in your career.

  • Responsible, conscientious and warm with people — you take ownership, care about doing things properly, and have real heart for the families and students you’ll support.

  • Comfortable with spreadsheets (Excel / Google Sheets) — you don’t need to be an expert, but you’re at ease with formulas and tracking sheets, and willing to grow.

  • Tech-comfortable and a quick learner with new tools — you’re not put off by software and you pick things up willingly.

  • Native-level English (spoken and written); Cantonese fluency preferred given daily communication with our local HK families.

  • Calm and warm under pressure — you handle anxious parents and last-minute changes without losing your composure, and exercise sound judgement on what to handle versus flag.

  • Genuine interest in education — working knowledge of UK boarding schools or admissions is a plus, but not required. We’re happy to teach the right person.

  • Comfortable working Sundays, when many of our lessons run.

Working Pattern
  • Five-day working week

  • Sunday is a required working day (when our lessons run). Saturdays are usually a working day too, but we’re open to discussion for the right person.

  • Your two rest days are consecutive weekdays

  • You will also be reachable during scheduled lesson times to support live lessons, with clear escalation guidelines for genuine emergencies.
