The Senior Executive, General Affairs / Administration is responsible for planning, managing, and improving the company's general services and administrative functions to ensure smooth business operations and a productive work environment. The role oversees facilities, travel, fleet, canteen, laundry, cleaning, office administration, vendor management, budgeting, compliance, and continuous improvement initiatives while leading and developing the General Services team.
Key Responsibilities:
General Affairs & Administration
- Supervise and support all types of general administration work to ensure the smooth running of company operations, including but not limited to:
- Travel management
- Facilities management
- Canteen management
- Laundry management
- Fleet management
- Cleaning and housekeeping management
- Postage and courier services
- License and insurance renewal
- Reception and telephone operations
- Office stationery and administrative supplies
- Ensure all administrative services are delivered efficiently and effectively in accordance with company policies and procedures.
Continuous Improvement & Employee Services
- Plan, develop, and initiate various programs and activities to enhance services provided to associates and internal departments.
- Drive continuous improvement initiatives to improve working conditions, operational efficiency, and support better Quality, Cost, Delivery, Morale, Safety, and Environment (QCDMSE) performance.
- Identify opportunities for process improvement and cost optimization across General Services functions.
Team Leadership & Workforce Management
- Supervise, coach, and develop junior executives and administrative assistants to ensure tasks, control items, and daily working checklists are carried out effectively and consistently.
- Manage employee leave schedules and duty rosters to ensure adequate manpower coverage and business continuity within the General Services team.
- Monitor team performance and provide guidance to achieve departmental objectives.
Facilities, Vendor & Service Management
- Oversee maintenance and service providers to ensure facilities, equipment, and workplace environments remain safe, functional, and compliant.
- Monitor and evaluate contractor and vendor performance to ensure service quality, cost effectiveness, and compliance with contractual requirements.
- Lead issue resolution and corrective actions related to facility and support service operations.
Budget & Cost Control
- Prepare and manage the annual budget for General Services-related functions.
- Monitor departmental expenditures and implement cost control measures to ensure budget compliance.
- Prepare cost analysis and recommendations to improve operational efficiency.
Records, Documentation & Data Management
- Coordinate and manage records, databases, and documentation in compliance with company systems, processes, and policies.
- Ensure all records and information are accurate, properly maintained, securely stored, and readily accessible when required.
Compliance, Audit & Risk Management
- Serve as the liaison person for internal and external audits related to General Services functions.
- Ensure audit findings, especially those involving major risks, are addressed promptly and effectively through corrective and preventive actions.
- Ensure compliance with company policies, statutory requirements, and regulatory obligations related to administration and facilities management.
Project Management & Cross-Functional Collaboration
- Participate as a committee member and represent General Services in cross-functional projects and company initiatives.
- Coordinate project activities within the team and ensure assigned deliverables are completed within agreed timelines.
- Collaborate effectively with various departments to support organizational objectives.
Communication & Reporting
- Establish effective communication and reporting platforms to facilitate timely information sharing and operational transparency.
- Prepare and present periodic reports, performance analyses, budgets, and improvement proposals to management.
- Respond to and resolve complex enquiries and issues, ensuring accurate information and timely resolution.
Other Duties
- Undertake any other projects, assignments, tasks, and responsibilities as assigned by Management from time to time.
Qualifications & Experience
Education
- Bachelor's Degree or Diploma in Business Administration, Management, Human Resources, or a related discipline.
Experience
- Minimum 5–8 years of experience in General Affairs, Administration, Facilities Management, or related fields.
- At least 2–3 years of supervisory experience leading administrative or support service teams.
- Experience in manufacturing or industrial environments will be an added advantage.
Pay: RM5,000.00 - RM6,500.00 per month
