Job Summary
The Project Manager (CEO's Office) is responsible for managing strategic projects, coordinating cross-functional initiatives, and ensuring timely execution of key business priorities. This role also serves as the primary coordinator for the CEO's schedule, meetings, communications, and follow-ups, enabling the CEO to focus on strategic decision-making. The ideal candidate is highly organized, proactive, able to manage confidential information, and capable of working in a fast-paced environment.
Key Responsibilities
Project Management
- Lead and coordinate strategic projects assigned by the CEO.
- Develop project plans, timelines, milestones, and monitor progress.
- Coordinate with department heads to ensure project deliverables are completed on time.
- Identify project risks and recommend mitigation strategies.
- Prepare project status reports and executive summaries for the CEO.
- Track action items and ensure accountability across departments.
- Support organizational initiatives, process improvements, and special assignments.
CEO Office Management
- Manage the CEO's calendar, appointments, meetings, and travel arrangements.
- Prioritize and coordinate daily schedules based on business priorities.
- Arrange internal and external meetings, including preparing agendas and meeting materials.
- Take meeting minutes and monitor follow-up actions.
- Screen and prioritize correspondence, emails, and requests directed to the CEO.
- Coordinate confidential documents and ensure proper record management.
- Act as the liaison between the CEO and internal departments or external stakeholders.
Stakeholder & Communication Management
- Coordinate communication between the CEO and senior management.
- Follow up with department heads on deadlines and key deliverables.
- Prepare presentations, reports, and briefing materials for meetings.
- Maintain professional relationships with business partners, vendors, and stakeholders.
Administrative & Strategic Support
- Support budgeting, planning, and reporting for CEO-led initiatives.
- Conduct research and prepare business analyses when required.
- Organize company events, leadership meetings, and board meetings where applicable.
- Handle confidential matters with discretion and professionalism.
- Perform other duties assigned by the CEO.
Requirements
- Bachelor's Degree in Business Administration, Project Management, Management, or a related field.
- Minimum 3–5 years of experience in project management, executive support, or a similar role.
- Experience supporting C-level executives is an added advantage.
- Strong project management and organizational skills.
- Excellent verbal and written communication skills in English and Bahasa Malaysia.
- Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook).
- Strong problem-solving and multitasking abilities.
- Ability to work independently under pressure and meet tight deadlines.
- High level of professionalism, integrity, and confidentiality.
Preferred Skills
- Project management certification (PMP, PRINCE2, CAPM, or equivalent) is an advantage.
- Experience with project management tools such as Asana, Trello, *************, ClickUp, or Microsoft Project.
- Strong presentation and report-writing skills.
- Excellent stakeholder management and negotiation skills.
- Ability to anticipate the CEO's needs and proactively resolve issues.
