Overview of the Team:
The People Operations team is the backbone of IPC’s employee experience, ensuring every process from onboarding to offboarding runs smoothly, consistently, and globally. You’ll work closely with HR colleagues in New York, London, Madrid, Paris, and Kuala Lumpur, supporting employees and HR Business Partners through timely, accurate, and high-quality HR service delivery. Role Overview:
The HR Coordinator plays a critical role within IPC’s People Operations operating model, acting as the primary Tier 1 owner for employee queries, transactions and service requests.
This role is responsible for delivering high-quality HR operations through end-to-end ownership, operational governance, process compliance and service excellence. The HR Coordinator ensures requests are managed through approved intake channels, resolved within agreed service levels and escalated appropriately to Tier 2 subject matter experts when required.
This role contributes to the ongoing transformation of People Operations through process standardization, documentation, automation, continuous improvement, and the implementation of scalable global operating practice
Key Responsibilities
Success in this role requires a strong ownership mindset, operational discipline and commitment to People Operations governance standards. The individual is expected to take accountability for delivering consistent, compliant and scalable HR services while continuously improving the employee experience.
Tiered HR Support & Service Delivery:
- Act as the first point of contact for employee HR queries, ensuring clear communication, accurate guidance, and timely case resolution.
- Manage Tier-1 tickets in alignment with defined Service Level Agreements (SLAs) and escalate complex issues to HR Business Partners or Subject Matter Experts as needed.
- Track and report recurring queries to identify process improvement opportunities.
- Take end-to-end ownership of employee requests from intake through resolution, ensuring no cases are left unresolved.
- Manage requests through approved intake and case management channels in line with People Operations governance standards.
- Ensure complete and accurate case documentation, maintaining clear audit trails and stakeholder visibility throughout the process.
- Escalate Tier 2 matters appropriately while maintaining ownership and follow-up until closure.
- Partner effectively with HR Business Partners to ensure seamless resolution of escalated cases and a consistent employee experience
HR Lifecycle Management:
- Onboarding: Coordinate offer letters, background checks, contracts, and first-day logistics; ensure a seamless employee experience and compliance with documentation standards.
- Offboarding: Oversee offboarding process (notice, system access, documentation, exit checklist), ensuring smooth transitions and data accuracy.
- Employee Changes: Support employee lifecycle changes (promotions, transfers, pay changes) ensuring accuracy in Oracle HRIS and payroll hand-offs.
- Parental & Leave Management: Administer leave processes and ensure timely communication and documentation between employees, managers, and payroll.
Governance, Compliance & Controls:
- Ensure People Operations processes are executed in accordance with company policies, audit requirements, data privacy standards and local employment legislation.
- Maintain accurate documentation and audit-ready records across all employee lifecycle activities.
- Identify operational risks, control gaps and process deficiencies, escalating concerns proactively.
- Ensure confidential employee information is handled, stored and disposed of securely at all times.
- Support internal and external audits by providing accurate records, process documentation and evidence when required.
Data, Systems & Process Integrity:
- Maintain and update HR records in Oracle Cloud HCM, ensuring data integrity and compliance.
- Partner with IT and People Analytics to streamline processes, data architecture, and automate routine tasks.
- Contribute to the development of the HR Service Desk in Oracle.
- Monitor data quality and proactively resolve discrepancies across HR systems.
- Perform regular data audits and validation checks to ensure accuracy, compliance and reporting integrity.
- Support governance initiatives aimed at improving process controls and operational consistency globally.
Process Ownership, Governance & Continuous Improvement:
- Support the implementation of the People Operations SCALE framework (Simplify, Centralize, Automate, Lead with Quality and Experience, and Enable) by driving process standardization, governance, documentation, self-service capabilities, knowledge management, and continuous improvement across the employee lifecycle.
- Participate in cross-regional HR initiatives and pilot projects (policy alignment, system rollouts, offboarding revamp).
- Own assigned People Operations processes and continuously evaluate opportunities to simplify, automate and improve service delivery.
- Create, maintain and enhance SOPs, process maps, templates and knowledge articles.
- Promote process standardization and global consistency across regions.
- Support implementation of the People Operations operating model, including Tier 1 / Tier 2 support structures, self-service capabilities and centralized intake processes.
- Participate in cross-functional projects involving HR, Payroll, Legal, Procurement, IT and Finance
Employee Experience & Communication:
- Provide consistent, transparent updates to employees and stakeholders.
- Contribute to employee engagement initiatives such as Family Day, Town Halls, and onboarding events.
- Model proactive communication, updating stakeholders before they need to ask.

Essential Skills and Experience to be Successful in this Role:
- Bachelor’s degree in human resources, Business Administration, or related field.
- 1–2 years of experience in HR coordination or operations within a fast-paced, matrixed environment.
- Demonstrated accountability and ability to manage multiple priorities with minimal supervision.
- Strong written and verbal communication skills with a proactive communication style.
- Attention to detail and data accuracy in HR systems (Oracle preferred).
- Understanding of HR processes across the employee lifecycle (onboarding, benefits, payroll, etc.).
- High degree of confidentiality, integrity, and professionalism.
- Strong sense of accountability with demonstrated ability to take ownership of issues through to resolution.
- Experience following documented operating procedures and working within controlled environments.
- Ability to manage competing priorities while ensuring service quality and compliance standards are maintained.
- Experience working within shared services, People Operations or service delivery environments is preferred
