Intern Administrator Job Description

Position: Administrative Intern

Department: Administration

Reports To: Office Manager / Administrative Manager

Employment Type: Internship (Full-Time or Part-Time)

Duration: 3-6 months (with potential for extension)

Position Overview

The Administrative Intern provides support to the administrative team while gaining practical experience in corporate office operations. This internship offers hands-on exposure to various administrative functions, business processes, and professional workplace dynamics, helping to develop foundational skills for a career in business administration.

Key Responsibilities

Administrative Support Assist with daily administrative tasks including data entry, filing, and document organization. Support preparation of reports, presentations, and meeting materials. Handle photocopying, scanning, and distribution of documents. Maintain organized physical and digital filing systems. Respond to routine inquiries and direct them to appropriate personnel.

Scheduling and Coordination Help coordinate meeting schedules and room bookings. Assist with calendar management for team members. Support logistics for internal events, trainings, and team meetings. Track and order office supplies as needed.

Project Assistance Support departmental projects with research, data collection, and analysis. Assist with process improvement initiatives and documentation updates. Help maintain internal databases and tracking spreadsheets. Contribute to special assignments as directed by supervisor.

Communication Support Assist with drafting internal communications and announcements. Help maintain contact lists and distribution groups. Support cross-departmental communication by routing information appropriately. Take meeting notes and distribute action items when requested.

Qualifications

Required: Currently enrolled in or recently completed a degree program in Business Administration, Management, Communications, or related field. Basic proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong written and verbal communication skills. Excellent organizational abilities and attention to detail. Enthusiasm to learn and take on new challenges. Professional attitude and reliability.

Preferred: Previous internship or work experience in an office environment. Familiarity with collaboration tools like Microsoft Teams or SharePoint. Customer service experience. Interest in pursuing a career in business administration.
