Role Description

Billing & Invoicing

• Prepare and issue customer invoices accurately and on time.
• Verify transport job records, delivery orders (DO), consignment notes, and supporting documents before invoicing.
• Ensure billing complies with customer contracts, rate sheets, and quotations.
• Follow up with the Operations Department for any missing or incomplete documents required for billing.
• Amend invoices promptly when necessary and ensure corrections are properly documented.
• Maintain proper filing of invoices and billing records.

Accounts Receivable Support

• Update customer statements and monitor outstanding invoices.
• Assist in reconciling customer accounts.
• Coordinate with customers regarding billing discrepancies.
• Work closely with the collection team to resolve invoice-related issues.

Accounting Support

• Perform data entry into the accounting system.
• Assist in monthly account reconciliations.
• Support month-end closing activities.
• Maintain accurate accounting records and documentation.

Requirements

Education

• Diploma in Accounting, Finance, or a related field.

Experience

• Minimum 1 year of working experience in accounting, billing, or invoicing.
• Experience in the logistics, transportation, freight forwarding, or haulage industry is highly preferred.

Technical Skills

• Knowledge of accounting principles.
• Familiarity with accounting software (SQL Accounting, AutoCount, UBS, or similar).
• Good knowledge of Microsoft Excel.
• Able to prepare invoices accurately with minimal supervision.

Preferred Candidate

• Experience handling high-volume billing for transport operations.
• Familiar with Delivery Orders (DO), Proof of Delivery (POD), Consignment Notes (CN), Transport Orders (TO), Trip Sheets, and customer rate schedules.
• Experience billing for car carrier, tanker, side curtain, or general haulage operations will be an added advantage.
