Job Responsibilities

• Support the day-to-day purchasing and procurement operations.
• Liaise with overseas suppliers on quotations, purchase orders, product enquiries, and delivery schedules.
• Prepare, process, and maintain purchase orders, invoices, and other procurement-related documents.
• Monitor and follow up on supplier deliveries to ensure timely receipt of goods and verify order quantities, quality, and specifications.
• Maintain accurate records of purchase orders, supplier information, pricing, and product details.
• Update product information, pricing, and inventory records in the Shopify or inventory management system.
• Coordinate closely with the fulfilment and warehouse teams to ensure smooth receiving of goods.
• Provide administrative and coordination support
• Assist with data entry, filing, documentation, and report preparation.
• Perform other ad hoc duties and projects as assigned.

Requirements

• Minimum 1 year of experience in purchasing, procurement, merchandising, or administrative support.
• Meticulous, detail-oriented, and highly organized with strong follow-up skills.
• Proficient in Microsoft Office, particularly Excel and Word.
• Good communication and interpersonal skills.
• Ability to communicate in Mandarin is preferred to liaise with Mandarin-speaking suppliers and vendors.
• Able to prioritize tasks, manage multiple responsibilities, and work effectively in a fast-paced environment.
• Responsible, proactive, and willing to learn.
• Positive attitude with the ability to work independently as well as collaboratively in a team.
