Responsibilities
ROLE PURPOSE
We are hiring a permanent, full-time Admin & HR Officer to strengthen the Admin team's daily coverage and succession. This role is designed to:
• Provide support across sales order processing and operations administration.
• Support in Company Affairs responsibilites duties.
• Working closely with Admin Head.
KEY RESPONSIBILITIES
1. Sales & Operations Admin
• Process and track sales orders, purchase orders (PO), delivery orders, and quotations.
• Coordinate with Sales,Ops/Installer, and Engineering teams on order status, scheduling, and documentation.
• Maintain accurate records for job files, tender submissions, and GeBIZ-related paperwork as needed.
2. Company Affairs
• Manage corporate secretarial coordination, licenses, permits, and statutory filings (ACRA, IRAS, MOM, CPF) in liaison with appointed corporate secretary/agents.
• Handle office administration: insurance renewals, utilities, tenancy/lease matters, vendor contracts, and general facilities upkeep.
• Maintain company registers, compliance documentation, and company affairs filing systems.
• Support work pass applications, renewals, and cancellations (Employment Pass, S Pass, Work Permit) for foreign employees.
3. HR Administration
• Coordinate recruitment logistics: job postings, interview scheduling, candidate correspondence, and onboarding paperwork.
• Support onboarding and offboarding administration, including issuance of employment contracts, access, and equipment.
• Help organize staff welfare initiatives, internal announcements, and HR-related employee queries.
REQUIREMENTS
• Diploma or above in Business Administration, Human Resources, or related field.
• 2–4 years of experience in administration, HR, or company secretarial support; SME/M&E or building services industry experience is a plus.
• Working knowledge of Singapore employment regulations, MOM work pass processes, and basic corporate compliance requirements.
• Proficient in Microsoft Office(Word, Excel, Outlook); familiarity with accounting/HR systems (e.g.QuickBooks, payroll software) is an advantage.
• Highly organized,detail-oriented, and comfortable managing multiple administrative streams(sales admin, company affairs, HR) at once.
• Reliable, discreet, and trustworthy — this role handles confidential company and employee information.
• Able to work independently in office full-time, providing consistent daily coverage (unlike the previouspart-time arrangement).
