Job Summary
The Administrative Assistant – Food & Beverage (F&B) provides essential administrative support to the F&B department, managing records, coordinating schedules, handling communications, and ensuring compliance to enable smooth operational and event activities.
Responsibilities
- Provide comprehensive administrative support to the Food & Beverage department to facilitate daily operations
- Prepare, maintain, and update accurate records, reports, correspondence, and documentation to support departmental functions
- Coordinate meetings, appointments, and departmental schedules to optimize time management and resource allocation
- Maintain detailed inventory records and assist with purchasing and stock documentation to ensure supply accuracy
- Process purchase orders, invoices, and administrative paperwork to support financial and procurement workflows
- Liaise effectively with suppliers, vendors, and internal departments to coordinate orders and deliveries promptly
- Maintain employee attendance, leave records, and work schedules to support workforce management
- Assist in preparing operational, sales, and inventory reports to provide actionable insights for management
- Handle telephone calls, emails, and customer inquiries professionally to maintain positive stakeholder relations
- Organize and maintain filing systems ensuring confidential information is securely managed in compliance with policies
- Support food safety, quality assurance, and compliance documentation to uphold regulatory standards
- Assist with event coordination and administrative arrangements for catering and promotional activities to ensure successful execution
- Ensure adherence to company policies and procedures in all administrative tasks
- Perform additional administrative duties as assigned by management to support department needs
Required competencies and certifications
- Diploma or Bachelor's degree in Business Administration, Hospitality Management, Office Administration, or related field
- Minimum 1–3 years of administrative experience, preferably in Food & Beverage or hospitality industry.
