Role Overview
The Events Executive is responsible for planning, executing, and post-event analysis of UMI UMI's live events. You will manage the full event lifecycle — from artist liaison and venue coordination to on-the-ground execution and reporting. This is a hands-on, high-ownership role for someone who thrives in a fast-paced live entertainment environment.
Key Responsibilities Event Planning & Coordination
· Plan and manage the full event lifecycle across all UMI UMI events — including After Dark shows, private functions, corporate events, brand activations, and community programmes
· Liaise with artists, performers, clients, agents, and vendors on contracts, technical riders, schedules, and hospitality
· Coordinate with internal teams (F&B, operations, marketing, tech) to ensure seamless event delivery
· Prepare and manage event timelines, run sheets, and production schedules
On-the-Day Execution
· Serve as the primary point of contact on event days — managing load-in, sound checks, rehearsals, and show flow
· Oversee venue setup, seating arrangements, signage, and guest experience touchpoints
· Troubleshoot and resolve issues in real time during live events
Post-Event & Reporting
· Compile post-event reports including attendance figures, revenue summaries, audience feedback, and operational notes
· Track and reconcile event budgets, P&L, and ticketing data (CloudJoi)
· Conduct post-mortems with the team to identify improvements for future events
Talent & Stakeholder Management
· Build and maintain strong relationships with talent, agents, and industry contacts
· Manage talent hospitality — travel, accommodation, backstage requirements, and meet-and-greets
· Negotiate fees and contract terms in collaboration with management
Marketing & Ticketing Support
· Work with the marketing team on event promotion timelines, content needs, and collateral
· Monitor ticket sales (CloudJoi, etc.) and recommend pricing or promotional adjustments
· Ensure accurate event listings across all ticketing and promotional platforms
RequirementsEssential
· 2–4 years of experience in event management, live entertainment, or hospitality
· Proven track record of delivering live events end-to-end
· Strong project management and organisational skills
· Excellent communication and negotiation abilities
· Ability to work flexible hours, including evenings and weekends during events
· Proficiency in Google Workspace / Microsoft Office
Preferred
· Knowledge of the Malaysia entertainment and events scene
· Experience with event budgeting and P&L tracking
· Familiarity with talent/technical riders and production requirements
· Mandarin or Cantonese language skills are a plus
Pay: RM3,300.00 - RM3,500.00 per month
