Job Summary
We are looking for a meticulous and customer-centric Transportation Traffic Controller to join our dynamic logistics team. This dual-role position is crucial for the seamless coordination of our fleet operations while also being a key point of contact for our clients. You will be responsible for real-time scheduling and routing of vehicles, ensuring on-time deliveries, managing customer inquiries, and handling all job-related billing and invoicing with precision. Your ability to juggle high-pressure operational demands with excellent service and financial accuracy will be key to your success.
Responsibilities
- Plan, schedule, and dispatch vehicles (prime movers, lorries, vans) to optimize routes and ensure timely collection and delivery of goods across Singapore
- Monitor vehicle locations in real-time using GPS and telematics systems (e.g., Webfleet, iFleet) to identify and resolve delays caused by traffic, breakdowns, or urgent requests
- Communicate job orders clearly to drivers, manage their schedules, and provide support for on-road issues or emergencies
- Adapt quickly to unexpected events such as vehicle breakdowns, last-minute order changes, or customer rejections by reallocating resources to minimize service disruption
- Ensure all fleet operations comply with Singapore’s LTA regulations, workplace safety standards, and company SOPs
- Serve as the primary liaison for customers via phone, email, and WhatsApp, providing proactive shipment updates, delay notifications, and proof of delivery (POD)
- Investigate and resolve operational inquiries and service issues, coordinating with internal teams to deliver timely and satisfactory solutions
- Coordinate with warehouse teams, crane operators, and sales/account managers to align daily operations with customer requirements and special instructions
- Accurately create and close job orders in the Transport Management System (TMS), recording critical data points to support billing processes
- Calculate and process billing for completed jobs, applying correct rates for waiting time, demurrage/detention, additional stops, and special handling
- Reconcile billing discrepancies by cross-checking job orders, customer purchase orders, and signed delivery orders before invoice submission
- Maintain organized digital and physical records of delivery orders, PODs, and billing documents for audit and traceability
Required competencies and certifications
- Minimum 1 years of experience in logistics, transportation, or supply chain coordination roles in fast-paced environments
- Strong knowledge of Singapore’s road network, port areas (PSA/Jurong Port), and industrial zones
- Proficient in Transport Management Systems (TMS), GPS tracking software, and Microsoft Office Suite, especially Excel for data reconciliation
- Excellent command of English for clear communication with drivers and clients
- Proven ability to multitask, make decisive judgments, and remain calm under high-pressure, time-sensitive conditions
- Meticulous attention to detail in data entry, billing, and adherence to procedures
Preferred competencies and qualifications
- Experience in specialized transport sectors such as container haulage, heavy lift/construction equipment, or chemical logistics
- Prior experience in logistics billing, cost allocation, or managing demurrage/detention charges
