Executive Assistant
Location: Kota Kinabalu, Sabah (Full-Time)

As we continue to grow, we’re looking for an exceptional Executive Assistant to work directly with our CEO.
This is not a traditional administrative role.
You will become a strategic partner who helps increase the CEO’s effectiveness, keeps high-impact projects moving, and ensures execution happens across the company.
Your Mission
Your mission is to maximize the CEO’s time, focus, and decision-making capacity.
You will organize priorities, coordinate cross-functional projects, improve operational efficiency, and ensure important initiatives move forward without constant follow-up.

Responsibilities
* Manage the CEO’s calendar, meetings, travel, and priorities.
* Prepare meeting agendas, notes, and action items.
* Follow up with department leaders to ensure deadlines are met.
* Coordinate company-wide strategic projects.
* Conduct research and prepare reports for business decisions.
* Build and improve internal SOPs and operational systems.
* Organize company documents and maintain executive dashboards.
* Draft presentations, announcements, and internal communications.
* Assist in hiring, interviews, and special company initiatives.
* Identify operational bottlenecks and recommend improvements.
* Handle confidential information with professionalism and discretion.
* Take ownership of special projects assigned directly by the CEO.
Requirements
* Bachelor’s degree preferred (or equivalent experience).
* Excellent written and verbal communication skills in English and Bahasa Malaysia.
* Highly organized with exceptional attention to detail.
* Strong problem-solving and critical thinking abilities.
* Able to manage multiple priorities under pressure.
* Proactive, resourceful, and able to work independently.
* High level of integrity and confidentiality.
* Fast learner with a growth mindset.
* Proficient in Google Workspace, Microsoft Office, Notion, Trello, or similar productivity tools.
* Comfortable working with AI tools such as Claude or ChatGPT to improve productivity.
Bonus Points
* Experience supporting founders or senior executives.
* Experience in project management or operations.
* Familiarity with e-commerce, retail, or technology businesses.
* Experience building systems, workflows, or SOPs.
