RESPONSIBILITIES (E.g. Job Scope) :
- Coordinate office activities and operations to secure efficiency and compliance to company policies
- Ensure all communications (through letter/emails/issuing Inter-Memo) from the managements to reach out to the staff/working parties and filed and recorded without any delay
- Manage agendas/travel arrangements/appointments etc. for Japanese expatriates at site.
- Create and update records and databases (eSystem) with Admin and HR related record
- Track stocks of office supplies and place orders when necessary by preparing PR/PO
- Collect, data and entry and checking the timesheets for monthly payroll.
- Submit timely reports and prepare reports/proposals as assigned
- Manage admin matters of company direct workers such as timesheet, arrangement of air-ticket for home leave and leave matters, course renewal, etc.
- Manage company transport and project IT matters.
- Assist colleagues in working matters, whenever necessary
- Assist in organizing monthly staff meetings for site and corporate events such as D&D, Safety Day, etc.
- Coordinate workplace prayer events such as 7th month praying, etc.
- Other duties as assigned by superior.
REQUIREMENT (E.g. Qualifications, Certifications, Experience) :
- Diploma in Business Management or equivalent.
- Candidate should possess at least 3 years experience in construction project administrative experience
- Maintains professional discretion in handling confidential information
- Possess good communication skills to liaise with all staff.
- This position requires the incumbent to work at project site and candidate must be willing to work to work in project site environment.
