Are you highly organised, detail-oriented, and passionate about delivering exceptional candidate and client experiences? We are looking for a proactive Operations Administrator to support our consultants, candidates, contractors, and clients throughout the entire recruitment lifecycle.

What You'll Be Doing
Recruitment & Talent Operations
- Coordinate end-to-end recruitment administration, ensuring a seamless experience for candidates, hiring managers, and consultants.
- Support consultants in candidate and client communications when required.
- Maintain accurate candidate, contractor, and client records within internal systems.
- Consolidate candidate pipelines from career fairs, networking events, and other sourcing initiatives.
- Conduct candidate outreach and database management activities.
Contracts, Documentation & Compliance
- Prepare and manage recruitment-related documentation, including offer letters, employment contracts, onboarding paperwork, NDAs, reference checks, and candidate registration forms.
- Prepare Statements of Work (SOWs), Master Service Agreements (MSAs), quotations, pricing breakdowns, and one-off payment contracts tailored to client requirements.
- Process contractor-to-permanent conversion documentation.
- Support work visa applications and employment documentation where required.
- Maintain confidential employee records and ensure proper document management and compliance.
Contractor & Employee Lifecycle Management
- Support onboarding and offboarding activities, including exit interview calls and completion of final documentation.
- Coordinate contract renewals and issue timely reminders to stakeholders.
- Maintain contractor records, including leave tracking and employment documentation.
- Manage Referral Programme and coordinate referral rewards for successful referrals.
Finance & Business Support
- Collect and validate monthly contractor timesheets and obtain approvals where required.
- Generate and issue invoices, both monthly and prepaid, to support project billing cycles.
- Monitor purchase orders (POs), invoice status, and payment progress in collaboration with Finance and external stakeholders.
- Prepare monthly project usage reports and expense summaries.
Employee & Stakeholder Support
- Serve as a key point of contact for employee and contractor enquiries relating to leave, payroll, and benefits.
- Draft warning letters and maintain records of employee communications with the highest level of confidentiality.
- Work closely with Consultants, Contracting teams, Finance, Hiring Managers, and external vendors to ensure smooth business operations.
