Job Overview
- Report to Admin and Quality Manager
- Administrative assistant duties and responsibilities include providing administrative support to ensure efficient operation of the office.
Responsibilities
- Responsible for office administration and clerical work.
- Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
- Responsible for office administration and maintenance work including safety and security needs.
- Carry out administrative duties such as filing, typing, copying, binding, scanning, tagging and labelling.
- Assisting project administration work including opening files, labeling, compiling final product for submission as well as logistic and delivery works.
- Assist the Management to comply with office building procedures, licensing and regulatory requirements.
- Assisting the Business Development and Project Department in providing relevant information as well as tender submission.
- Deliver and collect official documents, cheques, invoices, parcels, and other company items to and from clients, banks, government agencies, and other designated locations.
- Ensure all deliveries are completed accurately and within the required timeframe.
- Verify that documents are complete before dispatch.
- Obtain acknowledgement or signature upon delivery as proof of receipt.
- Maintain proper records of all dispatch and collection activities.
- Ensure the company vehicle is properly maintained and in good working condition.
- Monitor service schedules, road tax, and insurance validity.
- Execute instruction from time to time as instructed.
Qualifications
- Minimum SPM or equivalent.
- Proven admin or assistant experience.
- Knowledge of office management systems and procedures.
- Excellent time management skills and ability to multi-task and prioritize work.
- Attention to detail and problem solving skills.
- Excellent written and verbal communication skills.
- Strong organizational and planning skills.
- Company motorcycle will be provided for official dispatch duties.
- Possess a valid motorcycle and/or car driving license (Class B2/D - where applicable).
- Good knowledge of local routes and areas.
