For a Singapore interior design firm, an Admin Executive / Administrative Coordinator is typically responsible for project administration, quotations, invoicing, scheduling, and coordination between designers, suppliers, and clients.
We are a growing interior design and build consultancy specializing in residential, commercial, office, hospitality, and F&B projects. We are seeking an organized and detail-oriented Admin Executive to support our daily operations and project administration.
Key Responsibilities
Administration & Office Support
Manage daily office administration and documentation.
Maintain project files, contracts, and company records.
Handle incoming calls, emails, and client enquiries.
Schedule meetings and coordinate appointments.
Project Coordination
Assist designers and project managers with project documentation.
Prepare quotations, purchase orders, invoices, and payment records.
Coordinate with suppliers, subcontractors, and clients regarding project schedules and deliveries.
Track project progress and update internal records.
Finance & Documentation
Prepare invoices and follow up on payments.
Maintain expense records and administrative reports.
Liaise with external accountants for bookkeeping support.
Organize and maintain company databases and filing systems.
HR & General Support
Assist with staff onboarding and administrative matters.
Maintain office supplies and equipment.
Support management with ad-hoc administrative tasks.
Requirements
Diploma or equivalent qualification in Business Administration or related field.
1–3 years of administrative experience preferred.
Experience in interior design, construction, or renovation industry is an advantage.
Proficient in Microsoft Office (Word, Excel, Outlook).
Strong organizational and communication skills.
Ability to multitask and work independently.
Attention to detail and good time management.
