Role Description Reporting to the Head of Happiness & People and working as a key member of the Kuala Lumpur team to support the Regional Director and Senior Managers in the day to day and delivery of people and trainin

g related

activities by being the first point of contact.


Prime responsibilities and duties


HR

• Assist with day-to-day operations of the HR functions and duties.

• Provide HR administrative support to Head of Happiness & People and Regional Director.

• Compile and update employee records.

• Ensure compliance in HR related matters and audit ready.

• Update and Process documentation and prepare reports relating to personnel activities (staffing,

recruitment, PDRs etc).

• Assist in coordinating HR projects where necessary.

• Escalate employee requests regarding human resources issues, rules, and regulations.

• Assist in recruitment activities for all regions.

• Assist with posting the vacancies on EIC website and LinkedIn.

• Liaise with the relevant Senior Management Team/agency to organise and schedule interviews.

• Conduct Company Induction to newly hired employees.

• Assist in compiling and informing third party payroll provider regarding any people related changed on a

monthly basis.

• Support and coordinate with in- house training programme and other training requests.


Training and Development

• Assist with day-to-day operations of the training and development functions and duties.

• Monitoring training needs of the EIC.

• Provide training and development administrative support to Head of Happiness & People and Senior

Management Team.

• Support in compiling and updating employee training records.

• Support with documentation and preparation of reports relating to training and development activities.

• Escalate training requests to relevant manager.



Qualifications


Required

• Degree Background.

• Proven experience in an assistant/coordinator position.

• Good computer literacy (MS Office, in particular).

• Basic knowledge of local HR/labour laws.

• Basic knowledge and understanding of GDPR.

• Excellent organisational and administrative skills.

• Strong communications skills.

• Ability to act in a professional manner at all times and is consistent with the vision and values of the EIC.

• Proven time management skills demonstrated by ability to work effectively under pressure, to prioritise

and to deliver to tight deadlines.

• Supportive team player that can build relationships with colleagues across several locations.

• Ability to work on initiative to manage workload, produce results and meet deadlines.

• Attention to detail.

• Flexible approach to working hours to meet our operational requirements.

• Professional, well presented and personable, who can confidently engage with internal stake holders.


Desirable

• A Degree level education is preferred in HR or other fields but not essential.

• Familiarity with an HRIS or LMS.

• Familiarity with ATS software and resume databases.

• Knowledge and/or interest in the energy sector.

• Knowledge and/or interest in training & development and organisational culture.

• Experience of membership organisation and/or trade associatio
