Maintain and organize vessel inventory records, store lists, and equipment documentation for each vessel.
Update and monitor daily fleet movement reports.
Prepare requisition orders for food provisions, fuel, equipment, hardware, and other operational requirements.
Verify, record, and maintain supplier invoices and supporting documents.
Dispatch, sort, and distribute operational documents, correspondence, invoices, and claims to relevant departments.
Operate computer systems to input, retrieve, and maintain operational data accurately.
Operate standard office equipment, including photocopiers, printers, scanners, and other office machines.
Monitor vessel statutory certificates and maintain records to ensure timely renewal before expiry.
Update Daily Progress Reports (DPR) and submit them to charterers in accordance with operational requirements.
Maintain proper filing systems for operational documents and ensure records are up-to-date and easily accessible.
Provide administrative support to the Operations Department and perform other duties as assigned by management.
Job Requirements
Minimum SPM/STPM, Certificate, Diploma, or equivalent qualification in Business Administration, Maritime Studies, Logistics, Shipping, or a related field.
Fresh graduates are encouraged to apply. Candidates with 1–2 years of experience in shipping, marine, logistics, or operations administration will have an added advantage.
Proficient in Microsoft Office applications, particularly Microsoft Excel & Word.
Good organizational, filing, and document management skills.
Strong attention to detail with the ability to maintain accurate records.
