Job Summary

We are seeking a highly organized and detail-oriented Document Control Clerk to manage, organize, and maintain our company’s records and documents. The successful candidate will be responsible for the intake, sorting, filing, and retrieval of both electronic and hard-copy documents. You will ensure that all documentation is accurate, up-to-date, secure, and easily accessible to authorized personnel while maintaining strict compliance with industry regulations and internal policies.

Key Responsibilities

  • Document Management: Sort, classify, and file electronic and physical documents, ensuring they are stored in the correct locations.
  • Digitization: Scan, upload, and convert paper documents into digital formats using Electronic Document Management Systems (EDMS) like SharePoint, or similar platforms.
  • Quality Control: Review incoming documents for accuracy, completeness, and formatting standards before filing. Edit or correct documents (like templates or forms) as needed.
  • Version Control: Maintain strict version control of all technical documents, standard operating procedures (SOPs), manuals, and blueprints to ensure teams are always using the most current revisions.
  • Distribution & Tracking: Distribute project-related documents to internal teams, contractors, or clients. Maintain logs for incoming and outgoing documents and track approvals.
  • Data Security: Maintain the utmost confidentiality around sensitive company information, employee records, and terms of agreement. Assist in the secure disposal or archiving of outdated files.
  • Process Improvement: Assist in creating, updating, and maintaining document control procedures, templates, and workflows.
  • Support & Retrieval: Fulfill requests for file retrieval from various departments quickly and efficiently. Prepare ad-hoc reports on document status as requested by management.

Requirements and Qualifications

  • Education: High school diploma or equivalent is required. An Associate’s or Bachelor’s degree in Business Administration, Information Management, or a related field is preferred.
  • Experience: 1–3 years of proven work experience as a Document Controller, File Clerk, Data Entry Clerk, or similar administrative role.
  • Software Proficiency: Hands-on experience with MS Office (Word, Excel, Outlook) and Electronic Document Management Systems (EDMS). AutoCAD, Procore, SharePoint, SAP] is a strong plus.

Pay: RM1,453.33 - RM2,500.00 per month
