Assist the Project Manager in planning, coordinating and monitoring project activities to ensure timely completion of project deliverables.
Maintain and update project schedules, action registers, deliverable registers, meeting minutes, progress reports and project correspondence records.
Coordinate with project stakeholders, including engineering, procurement, vendors, subcontractors and clients to follow up on pending information, deliverables, comments,clarifications and approvals.
Track project milestones,deliverable status, procurement status, site progress, cost-related status, key project issues, and highlight delays or risks to the Project Manager.
Arrange and coordinate project meetings, prepare meeting agendas, record minutes of meeting, maintain action lists and follow up on closure of actions.
Support procurement activities under the guidance of Project Manager, including preparing RFQ packages, requesting quotations, coordinating vendor clarifications,maintaining quotation records and assisting in comparison summaries.
Assist in coordinating project logistics, site access, work permits, manpower planning, material delivery and project administrative matters with relevant project/site personnel where required.
Monitor and maintain proper project filing,records and document control, including correspondence, drawings, reports,vendor documents, submissions and approvals.
Support project close-out activities, including compilation of final documentation, as-built records,handover documents and lessons learned.
Comply with company project procedures, document control requirements, quality standards and applicable project execution practices.
Carry out other project coordination, ad hoc or administrative duties as assigned by the Project Manager or Management.
Requirements:
Diploma or Degree in any discipline
Team player with strong analytical and communication skills
Minimum 3-5 years of experience in a project coordination role
Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines
Excellent communication and interpersonal skills, with the ability to effectively liaise with various stakeholders
Proficient in MS Office including Excel, Word, PowerPoint, Outlook, MS Project or equivalent.
