The Procurement Executive is responsible for managing end-to-end purchasing activities for Aeruma Group, ensuring all materials, components, and products are sourced at the best cost, highest quality, and within required timelines. This role plays a critical part in supplier management, cost optimization, and ensuring smooth delivery flow to support project execution, sales orders, and operational needs.
You will work closely with internal teams (sales, warehouse, and finance) and external vendors to ensure efficient procurement operations aligned with company goals.
Key Responsibilities:1. Sourcing & Purchasing Management
Manage end-to-end procurement activities, including RFQ, supplier sourcing, quotation evaluation, and purchase order (PO) issuance.
Source and evaluate local and international suppliers based on pricing, quality, and delivery performance.
Ensure all purchases meet project requirements, technical specifications, and company standards.
2. Price Negotiation & Cost Optimization
Negotiate pricing, payment terms, warranties, and delivery schedules with suppliers to secure the best value.
Compare quotations from multiple vendors and recommend cost-effective purchasing decisions.
Develop long-term supplier partnerships and identify cost-saving opportunities.
3. Purchase Order & Documentation Control
Prepare and issue Purchase Orders accurately and on time.
Maintain proper procurement documentation, including quotations, POs, invoices, and delivery orders.
Verify product specifications, quantities, pricing, and delivery terms before order confirmation.
4. Delivery & Timeline Management
Monitor and follow up on supplier deliveries to ensure materials and products are delivered according to project and customer timelines.
Coordinate local and international logistics arrangements and proactively resolve delivery issues or delays.
5. Supplier Relationship Management
Build and maintain strong relationships with suppliers and distributors.
Evaluate supplier performance based on pricing, quality, delivery reliability, and responsiveness.
Resolve supplier-related issues, including delivery delays, defective products, and order discrepancies.
6. Ad-hoc duties
Support urgent procurement requirements when needed.
Perform ad-hoc duties assigned by management.
Requirements:
Diploma/Degree/Professional Certificate/Master Degree in Business Administration, Supply Chain Management, or any related field.
Minimum 1 year of relevant working experience. Fresh graduates are also encouraged to apply.
Language: Bahasa Malaysia & English. Mandarin proficiency is an additional advantage to effectively communicate and negotiate directly with regional equipment manufacturers and overseas suppliers.
Strong analytical, problem-solving, negotiation skills, and communication skills with prompt response.
