岗位职责

We are looking for a highly organized and proactive Sales & Admin Assistant to join our team. This is a hybrid "glue" role – you will be the backbone of our sales operations while also ensuring our office runs like clockwork.

Key Responsibilities

A. Sales Support (50%)

  • Contracts & Documentation: Prepare, review, and process sales contracts, purchase orders, and customer invoices with 100% accuracy.

  • Customer Coordination: Act as the first point of contact for customer inquiries regarding order status, pricing, and delivery schedules.

  • CRM Management: Update and maintain our sales database/CRM system to ensure all leads and deals are tracked properly.

  • Supplier Liaison: Coordinate with suppliers regarding stock availability, order confirmations, and delivery timelines to ensure client deadlines are met.

B. Administrative Support (50%)

  • Office Management: Maintain office supplies inventory, place replenishment orders, and manage pantry/stationery needs.

  • Logistics & Shipping: Prepare shipping documentation (airway bills, packing lists, commercial invoices) and coordinate with courier services for local and international dispatches.

  • Filing & Data Entry: Ensure all physical and digital documents (contracts, receipts, employee records) are properly filed and easily retrievable.

  • General Support: Assist with ad-hoc administrative duties such as answering phone calls, scheduling meetings, and arranging courier pickups.

Who We Are Looking For

Requirements:

  • Experience: At least 1-2 years of experience in an administrative, sales support, or logistics coordination role.

  • Shipping Knowledge: Familiarity with shipping procedures, courier bookings, and basic trade documentation (preferred but not mandatory - we are willing to train the right attitude).

  • Tech Skills: Proficient in Microsoft Office (Excel, Word, Outlook) and comfortable learning new software/CRMs.

Soft Skills:

  • Highly Organized: You don’t just juggle tasks – you prioritize them effortlessly.

  • Detail-Oriented: A single typo in a contract won't slip past you.

  • Team Player: You understand that sales reps rely on you, and you rely on them. You collaborate without ego.

  • Calm Under Pressure: You can handle urgent requests from 3 different people without losing your cool.

  • Proactive: You don't wait to be told what to do – you see what needs fixing and you fix it.
