岗位职责

We are looking for an Admin and Operations support assistant to organize work performed in the Dialysis Centre (DC) and supervise all areas of operations. Your duties will include oversee daily operation in dialysis centre, collaborate closely with multidisciplinary teams, including Nursing, Medical, Social Services, Volunteering and HQ Office and ensuring relevant healthcare regulations and industry standards are compliance with all applicable regulations and standards.

Facility Management

  • Ensure that the DC's physical infrastructure is well-maintained and meets safety and operational standards.
  • Support facilities and a team to run daily operational, logistics, maintenance, safety and security activities
  • Supervise environmental maintenance tasks conducted by vendors, including cleaning services, high dusting, pest control, waste collection, and biohazard disposal, to maintain cleanliness and hygiene standards.
  • Work closely with Facilities Management officers from HQ and relevant service providers in managing facilities issues.
  • Proactively coordinate repairs and servicing of all centre equipment to ensure optimal functionality and minimize downtime.
  • To be on call during Renal Dialysis Centre's operating hours.


Procurement Management

  • Manage the procurement process for consumable items, equipment, assets, and stationeries to support DC operations, sourcing and analysing quotations, and ensuring prompt delivery.
  • Collaborate closely with the nursing team and external vendors to ensuring smooth treatment provision and maintaining service quality for patients.

Vendor Management

  • Establish and nurture relationships with vendors supplying goods and services to the DC.
  • Work closely with Procurement and Facilities Management team in HQ in sourcing and evaluating potential vendors, including annual Vendor Evaluation exercise.
  • Monitor vendor performance and compliance with contractual agreements, addressing any issues or discrepancies as they arise.

Volunteer Management
  • Support and manage volunteer engagement to ensure smooth daily operations
  • Serve as the primary point of contact for volunteers for operational support services.
  • Communicate regularly with volunteers on schedules, expectations, and updates.
  • Respond to volunteer enquiries in a timely and professional manner.

Experience: Minimum 1-2 years of administrative experience, preferably in a hospital, clinic, or healthcare setting.
Skills: Proficiency in Microsoft Office (Word, Excel) and basic clinic facility management.
Soft Skills: Strong interpersonal communication, multitasking abilities, and a patient-centric mindset.
