JOB SUMMARY
The Contract Executive is responsible for managing and administering contractual and commercial matters for construction and infrastructure projects. The role includes preparation and review of contractual documents, subcontract administration, progress claims, variation orders, extension of time claims, contractual correspondence and commercial reporting to ensure projects are executed in compliance with contractual obligations, budget requirements and project timelines.
KEY RESPONSIBILITIES
Contract Administration
• Prepare, review and administer contracts, subcontracts, consultancy agreements, letters of award and related contractual documents.
• Ensure all contractual obligations, rights and procedures are properly complied with.
• Maintain proper records and filing of all contractual correspondence, notices, claims and project documents.
• Monitor contract validity, expiry dates, insurances, bonds and warranties.
• Draft contractual notices, reminders, warning letters and official correspondence.
Commercial & Cost Management
• Assist in tendering exercises, evaluation of quotations and commercial assessments.
• Prepare and verify progress claims, payment certificates and final accounts.
• Evaluate variation orders, extension of time claims and contractual entitlements.
• Monitor project costs, budgets and commercial risks.
Claims & Contractual Matters
• Assist in preparation and assessment of Extension of Time (EOT) claims.
• Monitor contractual timelines, milestones and notice requirements.
• Assist in contractual dispute resolution and claim management.
• Review contractual implications relating to delays, non-performance, liquidated damages and variations.
Coordination & Communication
• Liaise with clients, consultants, subcontractors, suppliers and authorities on contractual and commercial matters.
• Attend project meetings, site meetings and commercial discussions.
• Coordinate with project, procurement and finance teams for contractual compliance and payment matters.
Documentation & Reporting
• Draft official letters, notices, meeting minutes and contractual reports.
• Maintain updated contract registers and project documentation.
• Prepare periodic commercial and contractual status reports for management.
Coordination & Liaison
• Maintain updated contract registers, variation logs and commercial records.
• Prepare monthly commercial reports and management updates.
• Ensure proper documentation for audit and compliance purposes.
Compliance & Risk Management
• Ensure compliance with company policies, contractual obligations and applicable laws/regulations.
• Identify contractual risks and recommend mitigation measures.
• Assist in audit and compliance exercises.
REQUIREMENTS
Education
Bachelor’s Degree / Diploma in Quantity Surveying, Construction Management or any related engineering field
Experience
Minimum 2–5 years of relevant experience in contract administration, quantity surveying or commercial management within construction and infrastructure projects.
Knowledge & Skills
• Familiar with standard forms of contract such as PAM, JKR and CIDB-related procedures.
• Good understanding of construction contractual procedures and commercial practices.
• Strong drafting, negotiation and analytical skills.
• Proficient in Microsoft Office applications.
• Good communication and interpersonal skills.
• Ability to work independently and under tight deadlines.
• Detail-oriented and well organized.
• Able to manage multiple projects simultaneously.
• Team player with good coordination skills.
