Job Summary:
We are looking for a detailed-oriented and organized Document Controller to manage the project’s document control system, maintain accurate filing/archiving, and ensure seamless information flow. The ideal candidate will bridge communications among local stakeholders and the project team using multilingual skills.
Key Responsibilities:
- Ledger Management: Establish, improve, and maintain comprehensive project document ledgers (including electronic registers), ensuring they are updated in real-time.
- Incoming/Outgoing Control: Handle the official receipt, signing, sorting, and classification of all outgoing documents, while securing explicit sign-offs from receiving parties.
- Distribution & Routing: Promptly deliver incoming documents to the Project Manager, creating and distributing copies to the executing or responding team members based on management instructions.
- Controlled Document Retrieval: Timely recall controlled documents held by individual project staff, providing photocopies or electronic versions when specialized personnel require them.
- Archive Room Upkeep: Maintain the cleanliness and organization of the physical archive room, strictly enforcing preventive measures against fire, theft, insects, rodents, sun exposure, and moisture.
- Version Control & Updates: Review and clean up received documents; when a document version is upgraded, responsibly recall obsolete versions and replace them with the latest editions.
- Compliance & Coding: Implement the project company's specific regulations regarding periodic archiving schedules and standardized document coding systems.
- OA System Collaboration: Assist the project company in establishing an electronic document library within the OA system for authorized group management personnel to review.
Requirements:
- Education: Bachelor’s Degree or above in Business Administration, Information Management, Engineering, or any related discipline.
- Experience: Minimum 3 years of dedicated document control experience. Background in the Engineering, Construction, or EPC project sector is highly preferred.
- Skills: Thorough understanding of document control procedures, workflows, and records management systems. Excellent organization, meticulous attention to detail, and confidentiality.
- Languages: Proficient communication skills in Bahasa Malaysia, Mandarin, and English to handle diverse documentation and stakeholder interactions.
- Availability: Able to onboard by August 2026.
Pay: RM1,453.33 - RM4,106.92 per month
