Job Overview:
We are looking for an organized and proactive Project Administration Officer to manage the crucial back-office operations of our construction projects. You will support the project management team by handling documentation, procurement coordination, and data management to keep our projects running smoothly behind the scenes.
Key Responsibilities:
Document Control: Maintain and update the project filing system (both physical and digital), including drawings, contracts, site diaries, and correspondence.
Procurement Support: Assist in issuing Purchase Orders (POs), checking supplier invoices against delivery orders (DOs), and coordinating with the accounts department for payments.
Authority Liaison: Help prepare and submit documents to local authorities (e.g., MBJB, MBPJ, Syabas, TNB) and CIDB for necessary permits.
Meeting Coordination: Schedule project meetings, prepare agendas, and take accurate minutes of meetings (MoM) for distribution.
General Administration: Handle general site office administrative duties, including tracking staff attendance and ordering office supplies.
Requirements:
Education: SPM, STPM, or Diploma in Business Administration, Quantity Surveying, or equivalent.
Experience: At least 1–2 years of administrative experience, preferably within the construction, property development, or engineering sector.
Skills: Highly proficient in Microsoft Office (Word, Excel, PowerPoint). Exceptional organizational and time-management skills.
Languages: Good command of written and spoken English and Bahasa Malaysia.
Location: Based at our HQ or Site Office in Johor.
