Human Resources Executive
Job Summary
The Human Resources Executive is responsible for supporting and executing the full spectrum of Human Resources operations to ensure efficient workforce management and compliance with statutory and regulatory requirements. This role plays a key part in payroll administration, talent acquisition, employee relations, HR compliance, and personnel administration while supporting organizational goals and fostering a positive employee experience.
The incumbent will work closely with management and employees to drive HR initiatives, maintain compliance with employment regulations, enhance employee engagement, and ensure smooth day-to-day HR operations across the organization.
Key Responsibilities
1. Payroll Administration & Statutory Compliance
- Manage and process monthly payroll accurately and within established timelines.
-Administer statutory contributions and submissions, including EPF, SOCSO, EIS, PCB, and other regulatory requirements.
-Prepare and coordinate annual payroll-related activities, including EA Forms and statutory year-end reporting.
-Ensure payroll records, employee data, and compensation information are maintained accurately and confidentially.
-Liaise with relevant government authorities and regulatory bodies to ensure full compliance with employment legislation and statutory requirements.
2. Employee Administration & HR Operations
- Manage daily Human Resources operations, including employee correspondence, employment documentation, and HR administrative processes.
-Maintain accurate and up-to-date employee records, personal files, and HR databases in accordance with company policies and compliance standards.
-Monitor employee attendance, overtime records, leave administration, and medical claims to ensure proper documentation and adherence to company policies.
-Support the preparation of HR reports, employee letters, contracts, confirmations, transfers, and other employment-related documentation.
-Ensure effective administration and maintenance of HR systems and records.
3. Talent Acquisition & Onboarding
-Coordinate end-to-end recruitment activities, including job postings, candidate sourcing, resume screening, shortlisting, interview scheduling, and candidate communication.
-Collaborate with hiring managers to identify workforce requirements and support hiring initiatives.
-Facilitate onboarding activities to ensure a smooth integration process for new employees.
-Support employer branding and recruitment initiatives to attract suitable talent.
4. Employee Relations & Stakeholder Management
- Serve as a point of contact for employees regarding HR policies, procedures, benefits, and employment-related matters.
-Provide guidance and support on HR practices while ensuring consistent application of company policies.
-Work closely with management and employees to strengthen workplace relationships, enhance employee morale, and support employee retention initiatives.
-Assist in resolving employee concerns and support employee engagement activities that promote a positive workplace culture.
5. Foreign Worker Administration
- Manage the administration and renewal processes for foreign worker permits, visas, passports, and related employment documentation.
-Coordinate with relevant authorities and agencies to ensure compliance with immigration and employment regulations.
-Monitor expiry dates and ensure timely renewals to avoid operational disruptions.
6. Reporting & Continuous Improvement
-Prepare and maintain HR reports, employee records, and workforce-related documentation.
-Identify opportunities to improve HR processes, administrative efficiency, and employee service delivery.
-Support HR projects, policy implementation, and organizational initiatives as assigned by Management.
-Undertake ad-hoc assignments and administrative responsibilities to support business and operational requirements.
Requirements & Qualifications
-Diploma or Bachelor’s Degree in Human Resources Management, Business Administration, or a related discipline.
-Experience in Human Resources operations, payroll administration, recruitment, or employee relations is an added advantage.
-Proficiency in SQL Payroll software or equivalent payroll systems.
-Good understanding of Malaysian Employment Act, statutory regulations, and HR best practices.
-Strong organizational and administrative skills with attention to detail.
-Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
-Fresh graduates with a strong interest in Human Resources are encouraged to apply.

Pay: RM2,500.00 - RM3,000.00 per month
