About the Role
We are seeking a highly organized and execution-focused Retail Design Project Manager based in Malaysia to lead end-to-end design and store delivery projects across Malaysia, Singapore, and Australia.
This role is responsible for driving consistent delivery of retail design work—from concept through documentation and fit-out execution—ensuring alignment between design teams, engineering stakeholders, contractors, and store operations across multiple time zones.
Experience with AutoCAD and technical documentation, as well as strong stakeholder management across regional teams, is highly advantageous.
Key Responsibilities
1) Project Delivery & Design Execution
- Lead end-to-end retail design projects across multiple markets (MY/SG/AU)
- Define project scope, timelines, milestones, deliverables, and success metrics (e.g., design sign-off, drawing submissions, site readiness)
- Develop and maintain detailed project plans, critical path tracking, and reporting dashboards
- Ensure projects are delivered on time, within scope, and within budget
- Manage design handovers between teams (concept → design development → working drawings → submission/approval → build readiness)
2) Technical Coordination & AutoCAD / Documentation Support
- Review and coordinate AutoCAD drawings, technical drawings, and retail design documentation when required
- Liaise with engineering, design, and technical teams to ensure alignment of specifications (materials, layouts, details)
- Support interpretation of technical drawings for site coordination and execution
- Ensure design changes are captured, documented, and communicated to all stakeholders (including contractors and procurement teams)
3) Regional Coordination (MY, SG & AU)
- Coordinate cross-functional teams across three countries while managing time zone differences
- Align project execution with local market requirements (e.g., compliance expectations, submission timelines, procurement constraints)
- Support rollout planning and regional implementation activities (new stores, renovations, refurbishments)
4) Stakeholder Management (Internal + External)
- Serve as primary liaison between design/operations teams and external stakeholders (contractors, consultants, vendors)
- Communicate project updates, risks, and decisions to leadership
- Manage expectations across business units, regional partners, and project teams
5) Risk, Issue & Change Management
- Identify risks early (design delays, drawing revisions, contractor constraints) and implement mitigation plans
- Manage scope changes and assess impact on timeline, cost, and resources
- Escalate critical issues in a timely and structured manner
6) Reporting & Process Improvement
- Improve retail design delivery frameworks and reporting workflows
- Implement tools/best practices to enhance visibility and efficiency
- Maintain accurate and clear project documentation (submission logs, revision tracking, approval milestones)
7) Budget & Resource Management (Design + Delivery)
- Monitor budgets and ensure effective allocation of resources across design and project phases
- Work with finance/operations teams to control project costs and manage changes
Requirements
Experience
- 4–8 years of experience in Retail Design Project Management or Program Management
- Proven experience delivering multi-store or multi-market projects (MY/SG/AU preferred)
- Experience coordinating distributed stakeholders across time zones
- Exposure to construction, fit-out, engineering coordination, or design delivery processes is an advantage
Technical Skills
- Strong working knowledge of AutoCAD and technical/retail design plans
- Experience with project management tools (e.g., Jira, Asana, *************, Trello, etc.)
- Proficiency in Excel/Google Sheets for tracking budgets, schedules, revisions, and dashboards
Core Skills
- Strong leadership, communication, and stakeholder management skills
- Excellent organization, problem-solving, and execution discipline
- Ability to manage multiple store projects simultaneously
- Strong business acumen and practical delivery mindset
