Key Responsibilities:
Administrative Support
Type reports, letters, and other correspondence with accuracy and confidentiality.
Take down and transcribe dictation and minutes from meetings.
Maintain and organize office files and records systematically.
Reception & Scheduling
Receive and screen office callers and visitors professionally.
Schedule and coordinate meetings, appointments, and room bookings as required.
Office Maintenance
Oversee general office cleanliness and ensure maintenance needs are addressed promptly.
Coordinate daily dispatch duties and routine office errands.
Filing & Organization
Ensure maximum organization and efficiency in the filing and documentation system, both physical and digital.
Reporting & KPI Coordination
Prepare and coordinate the following key business reports and updates:
Monthly Business Update
Monthly Executive Committee (ExCo) Update
Quarterly Business Plan Update
Quarterly Risk Card Update
Renewals & Documentation Management
Manage timely renewal of licenses, certificates, permits, and insurance policies.
Handle tenancy agreement and contract renewals.
Compile and prepare documents for SDL unit acquisitions, including coordination for director signatures.
Generate barcodes at SGRKL and liaise with the Management Corporation (MC) office.
Facilitate stamping processes for agreements and contracts.
