Job Responsibilities:
Assist Head of Division (HDV) to establish, develop, implement and maintain Quality, Safety, Health & Environmental (QSHE) Systems for total Property Division organization.
Assigned as PDPO, assist Steering Committee Representative (SCR)/HDV to establish, develop, implement and maintain Personal Data Protection System (PDPS) to comply with PDPA 2010.
Assigned as Integrity Officer (IO), assist HDV to establish, develop, implement and maintain Anti-Bribery and Corruption System (ABCS) to comply with Hap Seng Consolidated Berhad ABC Policy & Section 17A of MACC Act 2009 (and Amendment 2018).
Assist HDV/SCR to initiate & coordinate QSHES/PDPS/ABCS documentation review for decisions by related members of Management Team and/or by Managers/Process Owners.
Responsible to compile presentation materials and reports on performances of QSHES, PDPS & ABCS for review by Senior Management Team members & propose changes to systems, as and when necessary.
Propose, coordinate and arrange necessary trainings for QSHES, PDPS, ABCS & other systems for Managers/Staff.
Assigned as Document Control Administrator for documents established for QSHES, PDPS, ABCS & any other new system.
Assigned as Lead Auditor to plan, conduct and monitor activities related to QSHE, PDP, ABC Systems Audits.
Responsible to compile, analyze and summarize Systems Audits results & request for action plans by HOD/Managers.
Ensure that pertinent issues of systems documents are current and available as 'Read Only' at O365 Team Rooms.
Ensure relevant systems documents are established, revised, reviewed, approved and distributed as required.
Maintain Master List of Documents, one set of Master Documents and Obsolete Documents.
Liaise with internal parties (Group IA/ IT/HR/Compliance, etc) and external parties on matters related to all systems.
Maintain the record of all new/changes for QSHES, PDPS & ABCS (and any newly established systems) documentation.
Coordinate with related Departments for personal data access, corrections/updates requests by the purchasers/owners.
Undertake to lead or assist in any new project related systems establishment & implementation for overall Property Division (e-systems such as e-Proc., Doc. Monitoring, ServeDeck, COID, Memo, Letter, Fax & Auth./Utilities Ag. Appr., etc.)
Assist staff by handling, clarifying and providing information on enquiries and requests related to systems requirements.
Maintain back up of QSHES, PDPS, ABCS and other systems documentation and store in suitable environment.
Carry out any other assignments & tasks delegated by HDV/SCR, and as stated in applicable systems documents.
Administer QMS & PDPS/ABCS & other systems documents in the module.
Recommend & coordinate training/briefing for established QSHES, PDPS, ABCS and other applicable systems documents.
Review, approve newly established/changes in documentation, to maintain integrity of QSHES, PDPS, ABCS & other systems.
Recommend improvements on QSHES, PDPS, ABCS and other systems documentation and implementation.
Access to personal data of the registrants, purchasers/owners, tenants' staff, etc. collected, processed and retained by the staff.
Main administrator, coordinator for overall Property Division e-Proc., Doc. Monitoring on the company application.
Report Non-conformances of QSHES, breaches of PDPS & non-compliances of ABCS to HDV and Senior Management Team members.
Job Requirements:
Candidate must possess at least a degree in Environmental Science, Occupational Safety and Health, Engineering, or relevant disciplines.
Candidate must possess at least 5 years of relevant experience in property development or construction industry.
Candidate must possess strong knowledge of Malaysian environmental/ safety regulations.
Good communication and problem-solving skill.
Fast learning ability and pleasant working attitude.
Able to work independently with minimum supervision.
Working Hours:
Monday to Thursday: 9.00am to 6.00pm
Friday: 9.00am to 5.30pm
Saturday (Alternate): 9.00am to 12.30pm
