Position Summary
The Project Cost & Estimating Administrator supports the Estimating and Project Cost Departments by coordinating administrative, technical, and organizational tasks related to bids, change orders, proposals, project documentation, and departmental workflow. This role ensures accurate tracking, organization, and processing of project information while assisting estimators and project cost personnel in day-to-day operations.
Key Responsibilities
- Assist the Estimating and Project Cost teams with daily administrative and coordination tasks
- Prepare, organize, and maintain bid documents, proposals, change orders, RFIs, submittals, and project files
- Set up and maintain projects in company platforms such as Wrike, Fieldwire, and internal tracking systems
- Organize drawing sets, specifications, addendums, and revision logs
- Track proposal due dates, pending approvals, and change order statuses
- Assist with document distribution to internal teams, clients, vendors, and subcontractors
- Maintain accurate project records, logs, and filing systems
- Support estimators with quantity takeoffs, data entry, pricing sheets, and scope documentation as directed
- Review incoming emails and route project-related communication appropriately
- Assist in preparing project cost reports, spreadsheets, and summary breakdowns
- Coordinate with vendors and subcontractors for pricing requests and document collection
- Help identify missing information, scope discrepancies, and drawing revisions
- Maintain departmental templates, forms, and standard documentation
- Schedule meetings and assist with meeting preparation and follow-up documentation
- Perform additional administrative and operational support tasks as assigned
Qualifications
- Previous administrative experience in construction, millwork, estimating, or project coordination preferred
- Basic understanding of construction drawings and specifications preferred
- Strong organizational and time management skills
- Ability to manage multiple projects and deadlines simultaneously
- Proficient in Microsoft Office Suite, especially Excel and Outlook
- Experience with Bluebeam, Wrike, Fieldwire, or construction management software is a plus
- Strong communication and professional email-writing skills
- Detail-oriented with high level of accuracy and accountability
Preferred Skills
- Ability to read and navigate architectural drawings
- Knowledge of millwork or commercial construction terminology
- Strong follow-up and coordination abilities
- Ability to work in a fast-paced environment and prioritize tasks efficiently
Reporting Structure
Reports directly to the Vice President of Project Cost and works closely with the Estimating and Operations teams.
