About the role:
SMITECH is seeking an experienced Document Controller to support document management and project administration for a major Civil and M&E construction project in the East of Singapore.
This role will work closely with the project delivery team, consultants, subcontractors, QAQC, planning, engineering and management teams to maintain accurate project documentation, control document submissions, track revisions and ensure timely distribution of approved documents.
This project role is to be based on site on a 5.5-day work week.
Key Responsibilities:
- Maintain and control project documents, drawings, correspondence, submissions, transmittals, registers and project records.
- Manage document workflows through the project document management tracking system and ensure proper filing, version control and retrieval.
- Receive, log, track and distribute incoming and outgoing documents from clients, consultants, subcontractors and internal project teams.
- Ensure the latest approved drawings, specifications, method statements, material submissions and project documents are properly updated and circulated to relevant stakeholders.
- Prepare and maintain document registers, drawing registers, submission trackers, transmittal logs, RFI/RFA logs and correspondence records.
- Monitor document submission status, follow up on pending approvals and highlight overdue items to the project team.
- Support QAQC, engineering, planning and site teams with documentation required for inspections, testing, commissioning, handover and audit purposes.
- Ensure project documentation complies with company procedures, client requirements and project filing standards.
- Assist in compiling project close-out documents, as-built records, handover dossiers and archival records where required.
Requirements
- Minimum three (3) years of relevant experience as a Document Controller, preferably in Civil, M&E, infrastructure or construction projects.
- Experience using document management tracking systems or electronic document management systems is required.
- Familiar with document control processes such as document registration, transmittals, revision control, submission tracking and project filing.
- Able to manage drawings, technical submissions, correspondence, reports, registers and handover documentation.
- Proficient in Microsoft Office, especially Excel, Word and Outlook.
- Experience with systems such as Aconex, Procore, BIM 360 / Autodesk Construction Cloud, SharePoint or equivalent document control platforms will be an advantage.
- Good coordination, communication, follow-up and documentation skills.
- Meticulous, organised and able to work under tight project timelines.
- Able to coordinate effectively with clients, consultants, subcontractors, project teams and internal management.
- Prior experience in Singapore construction, infrastructure, Civil or M&E projects will be an advantage.
