Responsibilities
Job Summary
The HR Executive is responsible for supporting the full spectrum of Human Resources functions
including recruitment, HR administration, payroll processing, employee records management, work
visa coordination, and compliance with statutory regulations. The role ensures HR processes are
implemented effectively in accordance with company policies, labour regulations, and operational
requirements.
Key Responsibilities
1. Recruitment & Hiring
• Manage end-to-end recruitment processes including job postings, candidate screening,
interview coordination, and preparation of employment contracts.
• Post job vacancies on relevant platforms including My Future Jobs.
• Monitor candidate applications and maintain recruitment records.
• Coordinate interviews with hiring managers and prepare interview evaluation reports.
• Submit interview reports to the My Future Jobs team for approval in expatriate hiring cases.
2. Onboarding & Offboarding
• Assist in preparing onboarding documents such as offer letters, NDA, and company policies.
• Coordinate onboarding activities for new hires.
• Manage employee exit processes including offboarding checklists and final clearance
procedures.
3. HR Administration & Employee Records
• Maintain and update the HR master list of employees (new joiners and leavers) using the
InfoTech system.
• Update employee records and track changes such as resignations, promotions, or contract
renewals.
• Prepare HR-related letters including confirmation letters and contract renewal documentation.
• Organize and maintain employee documentation including contracts, identification
documents, and certifications.
4. Attendance & Leave Management
• Collect and verify daily employee attendance records.
• Monitor and update leave balances including Annual Leave (AL), Medical Leave (MC),
Emergency Leave (EL), and unpaid leave.
• Ensure proper documentation and compliance with company leave policies.
5. Work Pass & Visa Management
• Manage applications and renewals for Work Pass, Security Pass, and Employment Pass.
• Monitor visa and pass expiry dates and coordinate renewals.
• Notify visa agents 3 months before expiry for renewal processing.
• Coordinate with external visa processing agents on application progress.
6. Expatriate Hiring & Compliance (My Future Jobs Process)
• Coordinate with the IBS Team regarding onboarding of new therapists.
• Verify and collect required documentation for expatriate candidates including:
o Passport copy
o Educational certificates
o Training certificates
o IELTS certificate
o Passport-sized photograph
• Ensure documents are valid, authentic, and clearly scanned before submission.
• Submit documentation to agents for visa applications after approval.
• Monitor approval status from My Future Jobs and forward approval letters to agents for
further processing.
7. Payroll Administration
(Monthly payroll to be completed by the 1st of each month)
Payroll Data Management
• Compile and verify employee attendance, overtime, leave balances, unpaid leave, and other
payroll-related information.
Payroll Processing
• Process monthly payroll using InfoPay (InfoTech) payroll system.
• Update payroll sheets with earnings and deductions including salary, allowances, bonuses,
loans, and statutory deductions.
Statutory Contributions
• Calculate and process statutory deductions including:
o EPF (KWSP)
o SOCSO (PERKESO)
o EIS
o PCB (Income Tax)
Reporting
• Prepare payroll reports and submit them to the Finance Department for payment processing.
• Submit statutory reports to respective government portals.
8. Policy Compliance
• Ensure HR policies and procedures are properly implemented and followed by employees and
management.
• Support HR initiatives to ensure compliance with company policies and local labour
regulations.
9. Additional Duties
• Perform other HR-related duties as assigned by management.
